Why do I need a professional wedding or event planner? My venue has a coordinator. Hi there! We hope that everyone is enjoying the start of spring. Love is in the air! Recently we have had several people ask us why should I hire a wedding or event planner if my venue has an event/catering manager. This is a fabulous question and there are definitely differences between the roles that the two play in your wedding or special event. Your wedding/event planner can be easily become so much more than someone who calls vendors and helps you negotiate contracts. Your wedding planner can become your personal assistant, your political mediator with family and friends, your friend, your confidante and most importantly someone that you can completely trust with the vision for your day. A wedding/event planner will do (and so much more): Assist with etiquette and protocol for invitations, family matters, ceremony, toasts, etc Recommend professional vendors to provide florals, music, photography, videography, invitation design, officiants, amenities and other services. Create a comprehensive budget and payment schedule for all vendors to ensure timely payment and accurate costs. Create a timeline for your entire day. This timeline will be shared with all vendors prior to the wedding or event. Work with you to organize ceremony rehearsal. Remind bridal party of pertinent time frames and "don't forget" items. Act as a liaison with all vendors, bridal party and family to create a timely and seamless event. Assist bride and bridal party with dress and prep. Deliver and arrange ceremony programs, place cards, favors, menu cards, toasting flutes, cake cutting knife and other items as requested. Assist guests in finding place cards and appropriate seating. Oversee and assemble gift bags for out of town guests. Help coordinate hotel arrangements for out of town guests. Collect all wedding gifts from the reception and deliver them to the appropriate, designated person after the reception. And so many more things can be handled by an wedding/event planner (bridal shower, engagement party, invitation mailing and rsvp tracking, etc). A catering manager will do: Oraganize and oversee the catering team. Make sure that the food and beverage is served at the appropriate times. Confirm allocation of catering staff and resources to make sure event is staffed properly. Review menu choices with chef and client. Monitor quality of food product served to your guests. Negotiate pricing with client. Each venue and location will vary with the roles of the event and catering managers, depending on the size of the venue and the size of the event. Catering/venue managers are fabulous people and work very hard to make your wedding/event a success. Your wedding/event planner will very closely with the on-site venue team to ensure the success of the event. The great thing about hiring a professional wedding or event planner is that you are building a relationship with a true professional. You have someone looking out for your best interests during all phases of the wedding planning. You have someone that is creative, who is instrumental in bringing your design vision to life.
