We were looking for a "day of" coordinator for our wedding...so I started looking on Thumbtack for help. After reading reviews on Michael and his profile, we met up at a local coffee shop to talk about what our needs were and if he could do it. I had a great feeling about him right then...I even showed him our card table ideas and wedding favors, and he gave me better ideas of how to set them up (talk about "thinking outside the box!"). Up until the BIG day, he kept in touch, asked how things were going and if I needed any help....I so much appreciated these messages being the nervous bride! The day of, he was punctual, was able to get through a "check list" I made him regarding set up and timing...and, most importantly, he kept me calm! If any "hiccup" came up, he fixed it in an instant! I truly believe our wedding ran smoothly and on time, thanks to Michael! Tiffany was amazing in her direct, kind communication, timeliness and organization. We really struggled to find a wedding coordinator that could tailor their services to meet our needs and were so fortunate when a family friend recommended Matt! He was instantly on board and right on top of everything leading all the way up until the big day. I don't think I was the easiest bride to work with either, as I had all these crazy ideas about what our wedding day would look like, and Matt would always, very gently, guide me in the right direction, still maintaining my vision, and I very much appreciated that about him. As it came closer to the big day, he made it very clear that he didn't want me to stress about anything and instilled confidence in me that he had it all covered. He was quick in his correspondences and exceeded our expectations, making sure everything went smoothly from start to finish. We hired Taneva as the "day-of" Coordinator for our daughter's wedding last weekend. We met with her ahead of time to go over the vision of the bride and groom. She helped with the Rehearsal the day before, and was on sight early to coordinate the vendors, table settings, etc., and stayed to clean up long after everyone had left. She was invaluable! As a Mother of the Bride, it was so nice to have someone as our advocate, to put out fires, and make the day flow smoothly. She did all of that, and more! Even offered to take back the Florist's items on the next business day so we didn't have to stay in town to do so. She is easy to work with, very calm, and professional. We highly recommend her for your coordination needs!

Beth is a wonderful, understanding, patient and caring florist. She truly loves her job and has a passion for floral design. She is also great about coordinating day of events. I hired Beth to do flowers for my Mexican themed wedding, as well as assist me in day of coordination. She went as far as traveling with me to a pick-your-own dahlias farm where we decided on which flowers would be the best for my bouquets and arrangements the day before the wedding. Looking back at Jessica and Mike’s wedding last year at Mission Santa Clara, we are filled with deep gratitude for the many amazing vendors that contributed to such a memorable day - and Mary Kay Mitchell of MKultra Events was at the top of our list! Contracting with Mary Kay to help us plan and organize the myriad of details and logistics was undeniably one of our smartest decisions! I'll never forget Mary Kay's reassuring words on the day we first met, several months before the wedding: "YOUR job is to celebrate, have fun, be with your daughter, your future son-in-law, your family...and experience fully the joy of each moment of the day! Forget about the the logistical details, the vendors, and 'To Do' tasks. That's MY job - Leave that to me!" Whew! A huge weight and concern was lifted from our shoulders! In the months before the wedding, Mary Kay collaborated and strategized with us on event planning/details such as reception table decor, flowers, maps, web content, directional signage, music, gift-baskets for our out-of-town guests, etc., etc. When 20+ relatives arrived from the East Coast the week before the wedding, we could "let go" and hand the remaining 'To Do' lists and details over to Mary Kay! Heidi and Ashton are the best!! We had a completely DIY wedding - we made flower arrangements the night before, we had the wedding in a studio in a warehouse that was so small that we had to flip the room from ceremony to dinner set-up, we even self-DJed with Spotify playlists, yet Heidi and Ashton did not miss a beat! They took over everything the day-of as our Day-Of Coordinators, so I, the bride, could enjoy my special day! They oversaw our event staff and kept the entire day's events perfectly timed out and on-schedule, they set-up all of our beautiful decorations, they navigated all of my various playlists to make sure all of the music was perfect!! I have no complaints!! Our family and friends were extremely impressed!! Barbara kept my party idea alive when I kept waffling on whether I wanted to do it. On the day of she took care of everything, including getting to the event ridiculously early to secure a great spot, and created a beautiful space on the beach to celebrate my birthday. I was so glad I didn't give up on the idea in the end. It turned out to be exactly what I wanted! Everyone had a good time and the cost was very reasonable give all the support she provided. My wife and I had thought we'd do our own wedding planning. We'd found our venue and vendors on our own; how hard could the finishing touches be? Especially for the small, simple event we envisioned? In hindsight, we'd accomplished only the easiest parts of the process, and without Diana and Tammy's help I don't know how we would have had the wonderful, stress-free event that we did. While we hired them as day-of-coordinators, they provided much more than day-of services, taking over vendor interactions months in advance of the actual event, actively helping to plan table layouts and other details, and in weekly video chats they provided organization and discipline that kept my wife and I on-task. There's so much work behind even a "simple" wedding that we hadn't even thought about, but Diana and Tammy guided us through it all. They were lifesavers; our wedding day was everything we'd hoped that it would be, and Diana and Tammy were absolutely critical to making it happen.

A wedding planner is a professional service provider whose job it is to organize and execute all the details of a couple’s wedding. A wedding planner can be contracted at any stage in the wedding planning process to help to any degree the couple is willing to pay for. Wedding planning is similar to event planning in that a planning team handles the coordination of multiple wedding elements including catering, venue, guests, entertainment, decor, transportation and more. Anyone who has ever been involved in a wedding can confirm that wedding planning is hard work. Experience brings wisdom when it comes to avoiding or resolving day-of challenges. There is no legal regulatory body that oversees or certifies wedding planning as an industry. Anyone who chooses can call themselves a wedding planner. How much do day-of wedding coordinators cost?

A day-of wedding coordinator makes sure that every detail of your wedding day goes off without a hitch, and deals quickly and quietly with any last-minute emergencies. For many brides, the day-of wedding coordinator is their best investment! The average national cost for a wedding coordinator is $800 to $1,000. Although full-service wedding coordinators often charge a percentage of the total wedding budget, most day-of coordinators charge a flat fee plus an additional hourly fee if the day runs long. For example, a 15-hour day-of coordination costs an average of $600, plus an additional $45 per hour if the coordinator works more than the planned 15 hours. Another option is to hire a coordinator to manage the last-minute details leading up to the event; for example, 25 hours of month-of coordination costs an average of $1,200. What should you ask a wedding coordinator?

When you hire a wedding coordinator, you want to make sure he or she gets you and can execute perfectly your vision of your dream wedding. To find the very best fit, it’s important to ask these five questions:

  • Are you available on my wedding date? If the coordinator isn’t available on your big day, there’s no reason to continue the interview — unless you’re willing to shift your date to accommodate their schedule.
  • What’s average cost of most of your weddings? If the coordinator’s usual wedding is outside your range, they might not be the right coordinator for you. Ask whether the coordinator requires a minimum wedding budget. In general, the wedding coordinator’s fee should be about 15 percent of your budget.
  • What is your speciality? Some coordinators specialize in day-of coordination, some create the overall vision, and others act as a producer. Make sure your wedding coordinator provides the type of services that will most help you create the event you have in mind, such as selecting vendors and handling their contracts, or managing the guest list and invitations.
  • What are your ideas for fulfilling our wedding vision? After you describe your dream wedding — rustic or sophisticated, traditional or funky — the wedding coordinator should be able to suggest appropriate venues, menus, decorations, etc..

Do I need a wedding day coordinator?

Even if you’ve handled every detail of planning your wedding, you might appreciate having a day-of wedding coordinator in your corner. Usually, the coordinator meets with you a few weeks before your wedding to put together a detailed timeline of everything that needs to happen on your wedding day. Then, on the big day, the coordinator makes sure everything goes according to plan — and handles any emergencies that pop up, such as party crashers, missing tuxedos, late vendors, disappearing bridal party members and more. Most wedding coordinators also handle:

  • Distributing the wedding day timeline to all of your vendors.
  • Coordinating all of your vendors, including the photographer, florist and baker.
  • Conducting the wedding rehearsal.
  • Helping the bride and her wedding party get dressed and take photos.   
  • Checking floor plans, lighting levels, cake placement, menus, favors and more.
