We LOVED working with 3 Little Birds for our wedding. For context we hired them just for day of coordination and they were a dream. I'm not one for long winded reviews so I'll just bullet the highlights of why we loved them. - When we said we wanted only day of coordination, no one tried to upsell us. - They were very responsive to emails throughout the process. - They were very detailed and dedicated to executing our vision. - They were so attentive and kept us sane on the actual wedding day. These are the reasons we're OBSESSED with them: - During dinner my little cousin had an horrible allergic reaction to something and they rushed out (During their scheduled break, mind you) to get her the medicine she needed. - We had an awkward potentially wedding crasher situation they completely handled it. - They set up our hella complicated DIY photobooth with no assistance at all. Bottom line: They rock and I'd hire them again in a heartbeat.

Rich did an excellent job bartending at our Holiday Party. He arrived early, dressed professionally, prepped the bar area, even ran out and got a few things we missed. He was very cordial with our guests and was knowledgeable enough to accommodated everyone's drink requests. Look forward to using his services next time !

Ricki Lewis at Special Event Genie did my daughters wedding and it was absolutely fabulous. Her total knowledge of wedding procedure for accuracy and follow up on all details was incredible and flawless. We were so happy the venue she found for our celebration, it couldn't of been any better. She totally understood the vision for my daughters wedding. Kept our budget concerns and even found creative ways to save us money. She went downtown to the flower mart and designed flower arrangements and bouquets saving 50% off regular florist fees. The flowers were amazing! She orchestrated the ceremony and reception seating and designed and set up the reception tables. She was there putting on all the finishing touches and more before we arrived to the venue. Provided a timeline for all vendors to follow which was seamless. Worked closely with the DJ and assisted with song order and selection. The event was a huge success and all family and guests raved about how much they enjoyed themselves, and how lovely and fun it was. The most important thing I have to say, is that the bride and groom were thrilled with the whole day and evening. They said it was the best day of their lives. Everything was perfect. I can't wait to use her services again for more events.

My husband and I are so grateful that we found Michelle at Flyte44 Events to help coordinate our wedding. From the moment I spoke to Michelle, she immediately put me at ease about our event. It truly felt like talking to a friend even though we had just met. As our wedding day approached, Michelle kept us on track with a detailed timeline and offered advice whenever we needed it. Several of our vendors were recommended by her and we loved everyone she suggested! She was easy to reach by phone or email and was available for all vendor meetings that we had leading up to our big day even going back to our venue multiple times to show our parents around the property. Michelle handled every challenge that we had with ease and therefore made us more relaxed during a time that can be very stressful. Our wedding was at The Houdini Estate, which is a more complicated venue, and Michelle constantly gave us suggestions and offered her expertise for the best way to handle certain difficulties. We had an entire flip outside from the ceremony to the reception that she had to coordinate, and she made it look effortless even though it was very challenging! On our actual wedding day, one of the vendors didn’t deliver our dance floor, and Michelle made sure that we had one in time for our reception. While I was worried that we wouldn’t have one, she assured me that even if she had to do it herself that it would happen. I knew she meant it and that I could leave everything in good hands. She also had a wonderful support staff helping her that really cared about making sure everything was extra special. Michelle went above and beyond making our day spectacular, and we are both sad that our wedding is over because we would love to continue working with her. If you not only want a coordinator but someone who is truly invested and cares about every part of your day, Michelle is the person for the job.

Crystal was my day of event coordinator for my reception & she seriously went above and beyond for me from beginning to end she took everything into her own hands all alone with no help. Every message we had through email was very pleasant and she always had a quick response I was never waiting for her response email I was always the one she was waiting for lol sorry crystal 😆 Crystal is very attentive and she takes her time with all the details. I basically gave her a box of all my decorations for the reception & she made everything so beautiful I couldn't have asked for a better coordinator thanks you JenEventsCa they really do have the best customs service I highly recommend this company and especially Crytal Shum as your coordinator!!!!

I hired Joelle for day-of weddinng coordination, and she was great. She always responded quickly, was super organized, and had great ideas. On the day-of, she helped set up and made sure the day ran smoothly. Our venue also requires that we break down that same night. Joelle started breaking down and cleaning up before the night ended, which made closing out super fast.

Jessell helped to ensure our wedding went smoothly, both by coordinating our vendors beforehand and by doing day-of coordination at the wedding itself. I was impressed by Jessell's quality of service and responsiveness, especially considering how reasonable her rates were, and would highly recommend her for your next event.

I’ve worked with Above and Beyond Events for several corporate and social events - and can say that they are hands down the best event company out there. For my last event (corporate fundraiser) Selina (the owner), met with me personally and went over each and every detail, and thought of multiple things that I didn’t event think about. She is quick to respond via email, and made sure that everything ran smoothly through setup and execution of the event. She created a beautiful setup, provided lovely certerpieces and even coordinated all take down after the event. I truly can’t say enough about Selina and Above and Beyond Events, my expectations have been exceeded every time.

Kelly made my perfect day exactly that - PERFECT! I didn’t have to worry about a single detail, as she had it all under control (says a lot coming from a control freak). I highly recommend her if you are looking for a month of coordinator. She will make sure everything is just how you want it, and you won’t have to worry about a thing on your special day.

Laura was great to work with! At first I wasn't sure that I was going to add a day-of wedding coordinator to my budget but after my first phone call with Laura, I knew it was essential. She's an expert about event set-up, timelines and catering so I immediately felt at ease and knew that if I hired her I could relax and enjoy my wedding day instead of worrying about the details. Laura and her assistant Jody were essential at our wedding - they gracefully handled everything behind the scenes and made sure it was a perfect day for my husband and I and our guests. My friends and family commented on how great Laura was at pushing everything along throughout the day, and troubleshooting when necessary. Laura's day-of coordination service might just be the most important service that I purchase for my wedding day!

Danielle was everything my wife and I could've dreamed for in a wedding coordinator. Thoughtful and attentive, she made the whole stressful process of planning a wedding easy. We're two working professionals that don't have a ton of free time, so her help was invaluable to making the day go smooth. Not only was Danielle available to us in the months leading up to our wedding, she and her assistant on the day were quick on their feet - they solved a problem with the venue and even fixed a hole I ripped in my wedding tux! We loved Danielle so much we already recommended her to other friends of ours looking for a wedding coordinator.

Q & A

Answers to commonly asked questions from the experts on Thumbtack.

What does a wedding event coordinator do?

Pulling off a large, complex wedding or an elegant, small affair requires juggling myriad details, including the officiant, food, drink, wedding cake, entertainment, transportation, rehearsal dinner, photography, equipment rentals, venue reservations and more. A wedding event coordinator can help you keep track of these details, overseeing the planning process and managing everything on the day of your wedding. Each wedding coordinator (and wedding) is different, but in general you can expect an event coordinator to:

  • Help you devise a realistic wedding budget and hold your vendors to it.
  • Map out a master plan that includes all of the details including ceremony music, favors, the guest book and more.
  • Suggest ceremony and reception locations that fit your wedding size, budget and vision.
  • Suggest florists, photographers, bands, caterers and other vendors that fit your budget.
  • Negotiate vendor contracts for the best deals.
  • Create a timeline for the day of the wedding that includes each vendor and member of your wedding party.
  • Mail invitations and track RSVPs.
  • Answer questions about wedding etiquette and current wedding trends.
  • Manage the wedding day from supervising vendors and setup to handling last-minute emergencies.

What is a wedding planner?

A wedding planner is a professional service provider whose job it is to organize and execute all the details of a couple’s wedding. A wedding planner can be contracted at any stage in the wedding planning process to help to any degree the couple is willing to pay for. Wedding planning is similar to event planning in that a planning team handles the coordination of multiple wedding elements including catering, venue, guests, entertainment, decor, transportation and more. Anyone who has ever been involved in a wedding can confirm that wedding planning is hard work. Experience brings wisdom when it comes to avoiding or resolving day-of challenges. There is no legal regulatory body that oversees or certifies wedding planning as an industry. Anyone who chooses can call themselves a wedding planner. When looking for a wedding planner, be sure to read reviews, and make smart hiring decisions by asking about licenses and insurance.

Do I need a wedding day coordinator?

Even if you’ve handled every detail of planning your wedding, you might appreciate having a day-of wedding coordinator in your corner. Usually, the coordinator meets with you a few weeks before your wedding to put together a detailed timeline of everything that needs to happen on your wedding day. Then, on the big day, the coordinator makes sure everything goes according to plan — and handles any emergencies that pop up, such as party crashers, missing tuxedos, late vendors, disappearing bridal party members and more. Most wedding coordinators also handle:

  • Distributing the wedding day timeline to all of your vendors.
  • Coordinating all of your vendors, including the photographer, florist and baker.
  • Conducting the wedding rehearsal.
  • Helping the bride and her wedding party get dressed and take photos.
  • Checking floor plans, lighting levels, cake placement, menus, favors and more.
  • Collecting the wedding gifts and keeping personal items safe and accounted for.

Even if you don’t think you need a wedding coordinator, check with your venue. Some require that couples hire a day-of wedding coordinator for the day of the event.

How much does it cost for a wedding planner?

Wedding planning is a full-time job — unless you hire a professional to handle the hard work for you. The cost for a wedding planner will depend on the level of service you desire. The least expensive wedding planner option is day-of coordination, then partial service, then full-service.

The national average cost for wedding planning is between $990 and $1,300. Costs are greatly affected by region, with rural or smaller-town wedding planners often far more affordable than planners in higher-cost cities. Here are some examples of the various levels of wedding planning and their potential average costs:

  • Day-of-wedding coordination: $800-$1,700. Day-of services can include the planner finalizing all details, creating a timeline, confirming vendors and overseeing all setup, day-of activities, and cleanup. The couple does all the front-end planning and contracts all the vendors. Time commitment could be about 15-25 hours, depending on pricing.
  • Partial service: $1,500-$3,800. Here the planner works with the couple from the beginning, helping contract vendors, creating a timeline, and overseeing all details of day-of execution. Time commitment could be about 30-60 hours, depending on package and pricing.
  • Full service: $3,500-$8,000 or more. Here the professional handles all wedding and planning details including working on design, securing rentals, getting the venue and vendors, and handling complete execution of the event. Time commitment could be 50-150 hours or more, depending on package and pricing.
  • Consulting: $50-$150 per hour for design, vendor, reception and other wedding planning consultation.

How much do day-of wedding coordinators cost?

A day-of wedding coordinator makes sure that every detail of your wedding day goes off without a hitch, and deals quickly and quietly with any last-minute emergencies. For many brides, the day-of wedding coordinator is their best investment! The average national cost for a wedding coordinator is $800 to $1,000. Although full-service wedding coordinators often charge a percentage of the total wedding budget, most day-of coordinators charge a flat fee plus an additional hourly fee if the day runs long. For example, a 15-hour day-of coordination costs an average of $600, plus an additional $45 per hour if the coordinator works more than the planned 15 hours. Another option is to hire a coordinator to manage the last-minute details leading up to the event; for example, 25 hours of month-of coordination costs an average of $1,200. Several factors affect the cost of day-of coordination, including the region, the planner’s experience, and the specifics of the wedding. If the ceremony and reception are in two different locations, expect to pay more than if they’re in the same place. Also, extra details, such as managing food trucks or setting up snacks in addition to the meal, will increase the cost.

Hire skilled professionals for absolutely everything.
