I found Nancy on Thumbtack a few days before our event, after our caterer stopped returning our phone calls. Nancy was very easy to work with, very prompt in response times and flexible in what we were looking for. It was a HUGE relief finding Nancy so close to the event! On the day of the event her staff showed up on time, (again) were flexible with what we were looking for and they had GREAT attitudes. The food was fantastic, and we were more than happy to give out our caterers information to anyone who asked. I would highly recommend Sparrow Kitchen to anyone looking for a professional, delicious, and easy to work with caterer.

Carey was SO AMAZING. It is really quite obvious she does weddings just because she loves to do weddings (not the money, which she charges almost nothing, comparitively). She was so helpful from the very beginning to the very, very end. From day one she was right there helping us. She took time out of her day to meet with us in person for over two hours (not just a quick 30 minute meeting), getting to know us first, so as to carry out this intimate and personal event perfectly. She went above and beyond at every step from helping us to create the perfect vows (which we had no idea how to do), to leading a perfect rehersal and then the ceremony, and she made sure we did it exactly the way we wanted it. At our reception, we decided to have an informal "come and help yourself" with the dessert which would have been fine. People can cut pie, that's no problem. My mom and aunt were there helping anyway, so it was fully covered. But, none the less, just because Carey was "in the moment" and she loves to do weddings so much, she went right ahead, got behind the table and started serving up the dessert--without being asked. And you could tell she loved it! Her dedication is layers deep. Carey loves doing what she does for the sheer joy of doing it, and it shows. We will NEVER forget what a wonderful day it was, so perfect thanks to her supportiveness, open mindedness and love. We love you, Carey!

Mountain Event Services DJ's our wedding. They provided a great mix of music for our guests and got everyone out on the dance floor. Nicole is the absolute best! Her attention to detail on everything is exceptional. She dug right in and planned our daughters destination wedding.... complete with options A and B...just in case it snowed....which it did 8 inches.....so there was a really quick option C! Our daughter was so calm, because Nicole was in charge of the day! The day was absolutely magical! She is so prompt wether by email or phone. We just can't say enough about Nicole. Amanda met with us before our wedding to get a feel for what we were hoping our day would be like. By coincidence, I just happened to have attended 2 parties coordinated by In The Event and Elyse Boule. Both parties were PHENOMENAL! What made them so special? The attention to detail with the planning, the food, the drinks, the decor, the entertainment and the overall vibe. Elyse truly has a knack for understanding what the client loves, what they don't love, and how to make it a memorable experience. The first party was an outdoor graduation party at a private residence (~60 people); the second was an indoor Kentucky Derby Party at a private residence (~30 people). First, the person being honored at the outdoor graduation party loves Cajun food so Elyse arranged for a New Orleans Food Truck to serve up New Orleans cuisine for all the guests right on location (absolutely delicious AND smart - no kitchen clean-up for the host!). She worked with the food truck to design a menu that was adult and kid-friendly. She obtained all the necessary permits for a food truck to stay parked in the neighborhood. She hired a bartender who specializes in making southern-style cocktails (also delicious and smart - no one had to serve themselves). Not only did she arrange the food truck and bartender, she also found a New Orleans-style jazz band to provide entertainment for all the guests. It was a blast! I truly felt like I was on Bourbon Street that night! She mastered the New Orleans theme, just what the client wanted. It was perfect, despite a freak rain storm. Of course, she planned for that too and had already had a tent and heaters out. I did not expect this at a house party. I was expecting a sandwich tray-white sheet cake and balloons graduation party snooze-fest. NOT A CHANCE! Everyone had a blast, no one batted an eye despite the short burst of bad weather and all the guests, including the band, kept on rockin'. The second party was a Kentucky Derby party (indoor). She coordinated a "Best Derby Hat" contest for the ladies and kids, and provided cute prizes for the winners. The food was all Kentucky-inspired, as were the drinks. Each drink glass (in mason jars - perfect!) were labeled with a horse's number so that drinks wouldn't get mixed up. Similar to the first party I attended, it was so clear that this girl pays close attention to the clients' needs/wants and her attention to detail is impeccable. (I hear that she will be planning a wedding for a client soon, and I want to go just for the party even thought I don't know the bride and groom.) There is no doubt in my mind who I will use when I throw my next party, whether it's big or small. I am so glad I found her - you will too!!! Thank you In The Event and Elyse!!! You make parties truly unforgettable.

Spencer has catered 2 parties in our home. One a smaller meal for 12, and then a party for 50. He is super easy to work with, had great ideas for menu planning and dishes and the food was fabulous. Plus we had some gluten and dairy restrictions and he was able to easily accommodate that. We got so many compliments. We consider him now our default caterer and will call him for any future events.

What does a wedding event coordinator do?

Pulling off a large, complex wedding or an elegant, small affair requires juggling myriad details, including the officiant, food, drink, wedding cake, entertainment, transportation, rehearsal dinner, photography, equipment rentals, venue reservations and more. A wedding event coordinator can help you keep track of these details, overseeing the planning process and managing everything on the day of your wedding. Each wedding coordinator (and wedding) is different, but in general you can expect an event coordinator to:

  • Help you devise a realistic wedding budget and hold your vendors to it.
  • Map out a master plan that includes all of the details including ceremony music, favors, the guest book and more.
  • Suggest ceremony and reception locations that fit your wedding size, budget and vision.   
  • Suggest florists, photographers, bands, caterers and other vendors that fit your budget.
  • Negotiate vendor contracts for the best deals.
  • Create a timeline for the day of the wedding that includes each vendor and member of your wedding party.
  • Mail invitations and track RSVPs.
  • Answer questions about wedding etiquette and current wedding trends.

How much do day-of wedding coordinators cost?

A day-of wedding coordinator makes sure that every detail of your wedding day goes off without a hitch, and deals quickly and quietly with any last-minute emergencies. For many brides, the day-of wedding coordinator is their best investment! The average national cost for a wedding coordinator is $800 to $1,000. Although full-service wedding coordinators often charge a percentage of the total wedding budget, most day-of coordinators charge a flat fee plus an additional hourly fee if the day runs long. For example, a 15-hour day-of coordination costs an average of $600, plus an additional $45 per hour if the coordinator works more than the planned 15 hours. Another option is to hire a coordinator to manage the last-minute details leading up to the event; for example, 25 hours of month-of coordination costs an average of $1,200. Several factors affect the cost of day-of coordination, including the region, the planner’s experience, and the specifics of the wedding. If the ceremony and reception are in two different locations, expect to pay more than if they’re in the same place. Also, extra details, such as managing food trucks or setting up snacks in addition to the meal, will increase the cost.

What should you ask a wedding coordinator?

When you hire a wedding coordinator, you want to make sure he or she gets you and can execute perfectly your vision of your dream wedding. To find the very best fit, it’s important to ask these five questions:

  • Are you available on my wedding date? If the coordinator isn’t available on your big day, there’s no reason to continue the interview — unless you’re willing to shift your date to accommodate their schedule.
  • What’s average cost of most of your weddings? If the coordinator’s usual wedding is outside your range, they might not be the right coordinator for you. Ask whether the coordinator requires a minimum wedding budget. In general, the wedding coordinator’s fee should be about 15 percent of your budget.
  • What is your speciality? Some coordinators specialize in day-of coordination, some create the overall vision, and others act as a producer. Make sure your wedding coordinator provides the type of services that will most help you create the event you have in mind, such as selecting vendors and handling their contracts, or managing the guest list and invitations.
  • What are your ideas for fulfilling our wedding vision? After you describe your dream wedding — rustic or sophisticated, traditional or funky — the wedding coordinator should be able to suggest appropriate venues, menus, decorations, etc..

Do you have a portfolio? Ask to see photos of their favorite weddings, especially if they’ve managed any that are similar to what you have in mind. This will help you see if you like their style and if their ideas seem fresh and creative.

Do I need a wedding day coordinator?

Even if you’ve handled every detail of planning your wedding, you might appreciate having a day-of wedding coordinator in your corner. Usually, the coordinator meets with you a few weeks before your wedding to put together a detailed timeline of everything that needs to happen on your wedding day. Then, on the big day, the coordinator makes sure everything goes according to plan — and handles any emergencies that pop up, such as party crashers, missing tuxedos, late vendors, disappearing bridal party members and more. Most wedding coordinators also handle:

  • Distributing the wedding day timeline to all of your vendors.
  • Coordinating all of your vendors, including the photographer, florist and baker.
  • Conducting the wedding rehearsal.
  • Helping the bride and her wedding party get dressed and take photos.   
  • Checking floor plans, lighting levels, cake placement, menus, favors and more.
  • Collecting the wedding gifts and keeping personal items safe and accounted for.

Even if you don’t think you need a wedding coordinator, check with your venue. Some require that couples hire a day-of wedding coordinator for the day of the event.
