We hired Kimo's Akamai Catering to cater our wedding. His staff was great and food was amazing. Kimo went above and beyond to help us get the best meal for the best price. He was able to help accommodate my strict budget and create a beautiful experience. Only complaint I have was from some of my guest at the wedding. They had to help set up the chairs and sashes because they were forgotten. Considering this was included in the contract, many of my family that was there to set up their decorations, were upset that they had to do extra work. Also, we set up the tables and brought out the chairs the night before to help expedite the service. All in all the event went great, the set up was done, and the food was phenomenal. I would recommend them for other events, just make sure to be ready to adjust if needed. If it wasn't for the mishap with the chairs and the added stress on our wedding day, I would've happily given 5 stars.

I am a project manager by profession so I really didn't think I needed a wedding planner or day of coordinator. That being said I could not be more thankful I hired Chavah and her team to help for my special day. I never thought having a destination wedding would be so difficult, but Chavah and her team were ready for anything anyone (vendors, weather, life) threw at me. They were a few steps ahead of me every step of the day. Not only were they amazing at communicating, they also had an awesome online program we used to communicate (tasks, budgets, timelines, etc). I am SO HAPPY I hired Vida Chic for the special day (wedding planning + florals), if you're on the fence - make the call and hire them. You won't regret it.

DJ Carlos provided both DJ/MC and up-lighting services for our wedding at Café Julia, Honolulu, Hawaii. Overall, we are pleased with East-Coast Productions meeting/exceeding our expectations. Here are a few bullet points regarding his work. * Flexible – Carlos and his assistant Tasia will provide you word.doc worksheet to fill out in advance as a recommended outline to follow for your wedding reception. However, we already had a wedding planner who had her own way of organizing the night. Carlos and Tasia were able to work with our wedding planner to tailor the night to the way we wanted it and was able to shuffle things around (bouquet toss, speech, first dance) on the fly. They were also able to fit in a surprise speech/toast that our uncle wanted to give last minute! * Music – Like any skilled DJ, Carlos is able to make the music match the mood and also get people moving on the dance floor. They will work with you regarding your preferences. However, we appreciated the fact that Carlos and Tasia were able to accommodate other requests. During cocktail hour, we wanted violin covers of modern songs to match the European feel of our venue. We provided a small list of recommended artists in the planning stages. On the actual day, DJ Carlos surprised us by finding other compatible songs that we didn’t list down that fit in perfectly. * EMCEE – DJ Carlos possesses good command with crowd and has an awesome personality. He is funny without being overtly sarcastic. He is able to make the event flow nicely and is a good communicator. * Price – Very reasonable. I don’t remember how much we spent, but if it helps, my wife and I are the “do-it-yourself” types and so you know choosing DJ Carlos helped us stay within budget. * Bonus – After our wedding, Tasia provided us with high quality pictures of the event. We highly recommend East-Coast Productions for your DJ/MC/uplighting needs for any event. Carlos and Tasia will work with you months/weeks in advance to make sure your event runs smoothly. They are very professional, yet friendly and accommodating. As another reviewer said they truly embody the Aloha Spirit. We had a memorable night and are glad to have had Carlos as our DJ.

We would recommend Jed to anyone. He was very quick to respond to any messages and questions we had prior to the wedding and even in the weeks after. He arrived early to the venue. We had gotten wedding tattoos instead of exchanging rings and he included that very beautifully and smoothly into our ceremony. We are truly happy we chose Jed for our wedding.

I almost did not go with this caterer because the quote came back with "tell me your budget and we'll see what we can do". I guess I wanted a clearer expectation of what these professionals could offer. However, through a series of emails with this caterer she was very quickly able to give me a clear estimate of cost and what food we could expect for that cost. She was always very quick to respond to my many questions and completely willing and flexible to help make this special event happen. This was a wedding reception for my niece and nephew. Over the course of several weeks we decided the menu and met for a tasting. The food was delicious, to say the least. On the day of the event, they showed up on time and immediately got to work. With all the other things going on with this mostly DIY reception, the food was one thing I just didn't have to worry about. To top it off, at one point (the toasts) the sparkling juice and cups were not distributed before they started making their speeches. I rushed to the kitchen in a panic and without being asked they started helping to distribute the cups and juice... this was not even something they had to do because it was not part of the meal they were providing. They went above and beyond to help make this day special. I would hire them again in a heartbeat and will be recommending them to anyone who has need of their services. Thank you Blaize's Kitchen! God bless you.

We worked with Kurt for both our engagement photos leading up to the wedding, and throughout the entire wedding day. Kurt was prepared and full of energy, catching every moment of our special day with his unique perspective. He made us feel at ease, even with the posed photos! We are beyond thrilled with the end results, and cherish the way he was able to capture the emotions and details, as well as the family and friends that contributed to our wedding day. I have no hesitation highly recommending Kurt Stevens to anyone looking for a talented, friendly and professional photographer.

Lee made our wedding wonderful. My friends and family loved how she decorated and managed our wedding overall. I was nervous how my wedding would turn out because I had no idea what to do. She taught us every step of the way with patience and kindness. I looked into a couple of wedding planners, but her service fee was a lot lower than the others. Granted, I wasn't expecting much, but she performed above and beyond expectations. If anyone is having a wedding in Hawaii (ohahu), I would 100% recommend Lee from JWL with all confidence!!

Lei is an amazing wedding day-of coordinator! We hired her for our wedding and she was exactly what we were looking for. Lei is professional, possessed great communication skills, she’s thorough, friendly, easy to talk to, organized, a quick thinker, efficient/ fast, reliable, and respectful of what you envision for your event. She didn’t only help us with day-of tasks, but assisted in all aspects of the planning. On the day of our wedding, she was there from 9am to 11pm and did not stop working. She executed everything nicely and helped and led everything from set up to clean up. Lei is the first one there, last one out type of person. My family referred to her as the energizer bunny. Lei has the perfect personality for her job and genuinely enjoys doing what she does. We highly recommend her for your wedding or other events. Thank you Lei!

We had a fantastic experience using Something New for our Day-Of Coordination for our recent wedding at Kualoa Ranch. Charelle was fun to work with, organized, easy to communicate with and a wealth of knowledge for every question I had in the lead-up to the wedding. She met with us the week before the wedding and also ran our rehearsal for our bridal party the day before the wedding, which helped everyone feel confident for the ceremony the next day. The wedding day itself went by flawlessly -- Charelle and her assistant Jillian did a great job managing all the vendors and we were able to stick to the timeline without any delays. Having the two of them there coordinating everything definitely helped me stay calm and enjoy the wedding day instead of worrying about things. We received so many compliments from our guests on what a smooth day it was, resulting in a fantastic wedding everyone enjoyed. Initially I was on the fence about hiring a wedding coordinator but my husband and I think it was one of the best decisions we made! Thank you Something New for doing an incredible job and making sure our wedding day was perfect!

Kalona was the most wonderful wedding planner. From the very first time I spoke to her, she was polite, accessible, and patient. Wedding planning can be a very time consuming, stressful time in a bride’s life, but Kalona made this journey as simple as possible! The ceremony was absolutely perfect. I honestly couldn’t have imagined the day to go any smoother. Kalona has an amazing team of photographers, hair/make up stylists, musician’s and more. The cake was even stunning (and delicious) too! While doing research on weddings in Hawaii, I contacted many sites, but no other planner was as responsive as Kalona. I couldn’t be happier with our decision to go with Kalona and A Rainbow in Paradise Weddings!

Working with Pohai for my cousins very large, outdoor wedding was no easy task. Pohai delighted us with her immediate suggestions on how to add decorative touches that emphasized our venue yet stayed within budget. She was very easy to work with and even in the event of a challenge or unexpected problem, she offered solutions and looked for ways to adjust. She was attentive to our needs and flexible with everyone's "input." She is a talented event planner and we would recommend her for any large or small event you might have.

I was trying to set up a surprise vow renewal on a beautiful beach at sunset while in Hawaii for our 25th wedding anniversary without my wife finding out. The resort dropped the ball on our renewal so I searched the web and ended up cold calling Catherine at Destination Hawaii Wedding. She set everything up (the preacher, the wife's bouquet, my lei, etc) so all I had to do was show up with my wife. That was a huge load off of my back. Everything worked out great. The beach, the waves and the setting sun were beautiful, exactly what my wife had wished for but never thought she'd get. The pictures Catherine took were awesome. Everyone told us how happy we looked. We couldn't have been happier with Catherine and highly recommend anyone planning a Hawaiian wedding or vow renewal to contact her for her services. Thank you Catherine!

Cheyanne was such a great wedding coordinator for our wedding day. We wanted someone that was gonna take care of the "day of" things such as setting up the floral arrangements, picking up the favors, and setting up our venue. We didn't want to go through a big name floral company as most of them didn't fit our budget but Cheyanne did an amazing job with finding/ providing the flowers and creating beautiful centerpieces that looked like something you would get from an outside florist. She was always so easy to talk to and communicate with throughout the entire time of planning our wedding up until the wedding day. If I had to plan another wedding for any family members or friends Cheyanne would without a doubt be my first reccomendation. I can't thank her enough for everything she did for us and how amazing everything came out! You will not be disappointed if you choose her as you wedding coordinator.

      Q & A

Answers to commonly asked questions from the experts on Thumbtack.

What does a wedding event coordinator do?

Pulling off a large, complex wedding or an elegant, small affair requires juggling myriad details, including the officiant, food, drink, wedding cake, entertainment, transportation, rehearsal dinner, photography, equipment rentals, venue reservations and more. A wedding event coordinator can help you keep track of these details, overseeing the planning process and managing everything on the day of your wedding. Each wedding coordinator (and wedding) is different, but in general you can expect an event coordinator to:

      • Help you devise a realistic wedding budget and hold your vendors to it.
      • Map out a master plan that includes all of the details including ceremony music, favors, the guest book and more.
      • Suggest ceremony and reception locations that fit your wedding size, budget and vision.
      • Suggest florists, photographers, bands, caterers and other vendors that fit your budget.
      • Negotiate vendor contracts for the best deals.
      • Create a timeline for the day of the wedding that includes each vendor and member of your wedding party.
      • Mail invitations and track RSVPs.
      • Answer questions about wedding etiquette and current wedding trends.
      • Manage the wedding day from supervising vendors and setup to handling last-minute emergencies.

      What is a wedding planner?

A wedding planner is a professional service provider whose job it is to organize and execute all the details of a couple’s wedding. A wedding planner can be contracted at any stage in the wedding planning process to help to any degree the couple is willing to pay for. Wedding planning is similar to event planning in that a planning team handles the coordination of multiple wedding elements including catering, venue, guests, entertainment, decor, transportation and more. Anyone who has ever been involved in a wedding can confirm that wedding planning is hard work. Experience brings wisdom when it comes to avoiding or resolving day-of challenges. There is no legal regulatory body that oversees or certifies wedding planning as an industry. Anyone who chooses can call themselves a wedding planner. When looking for a wedding planner, be sure to read reviews, and make smart hiring decisions by asking about licenses and insurance.

How much do day-of wedding coordinators cost?

A day-of wedding coordinator makes sure that every detail of your wedding day goes off without a hitch, and deals quickly and quietly with any last-minute emergencies. For many brides, the day-of wedding coordinator is their best investment! The average national cost for a wedding coordinator is $800 to $1,000. Although full-service wedding coordinators often charge a percentage of the total wedding budget, most day-of coordinators charge a flat fee plus an additional hourly fee if the day runs long. For example, a 15-hour day-of coordination costs an average of $600, plus an additional $45 per hour if the coordinator works more than the planned 15 hours. Another option is to hire a coordinator to manage the last-minute details leading up to the event; for example, 25 hours of month-of coordination costs an average of $1,200. Several factors affect the cost of day-of coordination, including the region, the planner’s experience, and the specifics of the wedding. If the ceremony and reception are in two different locations, expect to pay more than if they’re in the same place. Also, extra details, such as managing food trucks or setting up snacks in addition to the meal, will increase the cost.

What should you ask a wedding coordinator?

When you hire a wedding coordinator, you want to make sure he or she gets you and can execute perfectly your vision of your dream wedding. To find the very best fit, it’s important to ask these five questions:

      • Are you available on my wedding date? If the coordinator isn’t available on your big day, there’s no reason to continue the interview — unless you’re willing to shift your date to accommodate their schedule.
      • What’s average cost of most of your weddings? If the coordinator’s usual wedding is outside your range, they might not be the right coordinator for you. Ask whether the coordinator requires a minimum wedding budget. In general, the wedding coordinator’s fee should be about 15 percent of your budget.
      • What is your speciality? Some coordinators specialize in day-of coordination, some create the overall vision, and others act as a producer. Make sure your wedding coordinator provides the type of services that will most help you create the event you have in mind, such as selecting vendors and handling their contracts, or managing the guest list and invitations.
      • What are your ideas for fulfilling our wedding vision? After you describe your dream wedding — rustic or sophisticated, traditional or funky — the wedding coordinator should be able to suggest appropriate venues, menus, decorations, etc..

Do you have a portfolio? Ask to see photos of their favorite weddings, especially if they’ve managed any that are similar to what you have in mind. This will help you see if you like their style and if their ideas seem fresh and creative.

Do I need a wedding day coordinator?

Even if you’ve handled every detail of planning your wedding, you might appreciate having a day-of wedding coordinator in your corner. Usually, the coordinator meets with you a few weeks before your wedding to put together a detailed timeline of everything that needs to happen on your wedding day. Then, on the big day, the coordinator makes sure everything goes according to plan — and handles any emergencies that pop up, such as party crashers, missing tuxedos, late vendors, disappearing bridal party members and more. Most wedding coordinators also handle:

      • Distributing the wedding day timeline to all of your vendors.
      • Coordinating all of your vendors, including the photographer, florist and baker.
      • Conducting the wedding rehearsal.
      • Helping the bride and her wedding party get dressed and take photos.
      • Checking floor plans, lighting levels, cake placement, menus, favors and more.
      • Collecting the wedding gifts and keeping personal items safe and accounted for.

Even if you don’t think you need a wedding coordinator, check with your venue. Some require that couples hire a day-of wedding coordinator for the day of the event.

Hire skilled professionals for absolutely everything.
