I am writing to let everyone know how pleased we were with Kelly Houlehan as a wedding coordinator for our daughter’s wedding, June 24, 2017. The ceremony was held at the MN Arboretum and we some scheduling challenges that Kelly navigated easily. When I arrived at the Arboretum at 11:00 am the day of the wedding, I had no idea Kelly and I would not get into the reception venue to prepare the tables until much later in the day when I was scheduled for photos. Kelly used her time efficiently to listen to my detailed plan, sort the décor to facilitate the transfer of flowers, candles, lights, pictures, and butterflies to their respective locations. She set up everything without my help. The reception room was absolutely stunning and the ceremony lovely. I could never have successfully done the décor had it not been for Kelly’s hard work, efficient planning and professionalism. Kelly was also on hand to reminded us of our photo timelines and got us to the ceremony location on time. She served as a point person for any questions that came up during the reception like helping the DJ to upload the slide show, coordinating the event with the Arboretum staff and keeping my relatives' meals warm while they stepped out for a minute. Kelly was there to respond to every question or problem that arose. She also help organize clean up and packed the décor at the end of the evening. WOW!! Kelly was easy to work with and made it possible for me to enjoy my daughter’s wedding, eat a wonderful meal and celebrate the evening with dancing. I cannot speak more highly of Kelly’s ability to listen carefully, actualize that plan, herd our families around to pictures, ceremony and reception, and clean up. She is an exceptional contractor for the Wedding Collective. I would highly recommend Kelly’s services to everyone who is planning a wedding. Thank you Kelly.

Steve was the perfect caterer for our wedding. He went above and beyond to make our day special. Admittingly, Steve was more detailed and prepared than our wedding planner and everyone else combined...his experience really shined through and put us at ease. We expected 425-450 for our guest list, and with just 2 weeks to go, started to panic as our list grew to over 600. Steve simply remained calm through the whole thing...a phone call or two and he said everything was alright and we'd get through it. I was about to be a basket case, yet his calm reassured me. The best of it was, before anyone else was served, Steve personally served us first...along with a complimentary bottle of wine he had picked out especially for our meal. He stopped for a second to congratulate us, allow for a few extra pictures, and to make sure we...the bride and groom...were totally taken care of before moving onto our guests. Steve made our day special in so many ways. Something my mother said afterwards that sums up Steve pretty well was, "He's an old fashioned gentleman. His handshake is his bond, and his word is gold. He gets his reputation the old way...he earns it.". I highly recommend Steve to anyone for any catering need.

Jaime did an amazing job of helping me plan my destination wedding. I tried to do it on my own, but after 4 days of searching for the right venue, I was feeling overwhelmed. I hired Jaime as my wedding coordinator and she was able to provide several options within hours of my initial contact with her. She respected my budget and only offered services in my financial range. She was available every time I contacted her with a question, concern, or idea. She created a Pinterest board exclusively for my wedding, which allowed me to see ideas that fit with my desires. I'm a Type B personality and just don't enjoy the overwhelming amount of work that goes into planning a wedding. Jaime took on the challenges of my destination wedding with zeal. She doesn't treat event planning like a job; she takes the time to make people feel like their event is the most important thing she's ever done. I highly recommend Jaime for any event planning. I will definitely hire her again!

Amy is AWESOME at what she does! She is so relaxed, creative, professional, and flexible. She did an outstanding job with a delicious, unique menu for our event. She is great at planning events and her staff is wonderful. Amy also catered a team sports banquet for our group. She makes sure the presentation always looks great, and that there is plenty of food! We hired Ole Piper to cater our wedding reception at the Rosemount Community Center. We made the decision to hire them based on our previous wonderful experiences with the restaurant/ownership. They provided an excellent assortment of food, based on our requests and their great recommendations, that was cooked to perfection and was right on time. Many guests commented on how much they enjoyed the food. The process of having the it ready and served was seamless and done to perfection.     Jessica and Jenna are true professionals. I booked them as my day-of coordinators for my wedding reception, and from the beginning they were prompt and clear communicators - over email, by phone, and in our in-person site visit. They really know weddings and events inside out and were always thinking two steps ahead.     I contacted Melissa to help with my daughter's September 22 wedding, and it was a great decision! Throughout the process, she was responsive and constantly communicating with us about the many issues and details involved in a large wedding.     Joan did an amazing job with our wedding! My husband & I were convinced we wouldn't need a wedding planner. But a few weeks before the wedding we were swamped. Joan was extremely professional, worked within our budget, & made sure our big day went off without a hitch. She even worked with my Mom to decide the best flowers & color scheme for our wedding! She helped arrange the food, set up the venue, the photographers, video, music & audio equipment.     What does a wedding event coordinator do?

    Pulling off a large, complex wedding or an elegant, small affair requires juggling myriad details, including the officiant, food, drink, wedding cake, entertainment, transportation, rehearsal dinner, photography, equipment rentals, venue reservations and more. A wedding event coordinator can help you keep track of these details, overseeing the planning process and managing everything on the day of your wedding. Each wedding coordinator (and wedding) is different, but in general you can expect an event coordinator to:

    • Help you devise a realistic wedding budget and hold your vendors to it.
    • Map out a master plan that includes all of the details including ceremony music, favors, the guest book and more.
    • Suggest ceremony and reception locations that fit your wedding size, budget and vision.   
    • Suggest florists, photographers, bands, caterers and other vendors that fit your budget.
    • Negotiate vendor contracts for the best deals.
    • Create a timeline for the day of the wedding that includes each vendor and member of your wedding party.
    • Mail invitations and track RSVPs.

    Do I need a wedding day coordinator?

    Even if you’ve handled every detail of planning your wedding, you might appreciate having a day-of wedding coordinator in your corner. Usually, the coordinator meets with you a few weeks before your wedding to put together a detailed timeline of everything that needs to happen on your wedding day. Then, on the big day, the coordinator makes sure everything goes according to plan — and handles any emergencies that pop up, such as party crashers, missing tuxedos, late vendors, disappearing bridal party members and more. Most wedding coordinators also handle:

    • Distributing the wedding day timeline to all of your vendors.
    • Coordinating all of your vendors, including the photographer, florist and baker.
    • Conducting the wedding rehearsal.
    • Helping the bride and her wedding party get dressed and take photos.   
    • Checking floor plans, lighting levels, cake placement, menus, favors and more.
    • Collecting the wedding gifts and keeping personal items safe and accounted for.

    Even if you don’t think you need a wedding coordinator, check with your venue. Some require that couples hire a day-of wedding coordinator for the day of the event. 

    How much do day-of wedding coordinators cost?

    A day-of wedding coordinator makes sure that every detail of your wedding day goes off without a hitch, and deals quickly and quietly with any last-minute emergencies. For many brides, the day-of wedding coordinator is their best investment! The average national cost for a wedding coordinator is $800 to $1,000. Although full-service wedding coordinators often charge a percentage of the total wedding budget, most day-of coordinators charge a flat fee plus an additional hourly fee if the day runs long. For example, a 15-hour day-of coordination costs an average of $600, plus an additional $45 per hour if the coordinator works more than the planned 15 hours. Another option is to hire a coordinator to manage the last-minute details leading up to the event; for example, 25 hours of month-of coordination costs an average of $1,200. Several factors affect the cost of day-of coordination, including the region, the planner’s experience, and the specifics of the wedding. If the ceremony and reception are in two different locations, expect to pay more than if they’re in the same place. Also, extra details, such as managing food trucks or setting up snacks in addition to the meal, will increase the cost.

    What should you ask a wedding coordinator?

    When you hire a wedding coordinator, you want to make sure he or she gets you and can execute perfectly your vision of your dream wedding. To find the very best fit, it’s important to ask these five questions:

    • Are you available on my wedding date? If the coordinator isn’t available on your big day, there’s no reason to continue the interview — unless you’re willing to shift your date to accommodate their schedule.
    • What’s average cost of most of your weddings? If the coordinator’s usual wedding is outside your range, they might not be the right coordinator for you. Ask whether the coordinator requires a minimum wedding budget. In general, the wedding coordinator’s fee should be about 15 percent of your budget.
    • What is your speciality? Some coordinators specialize in day-of coordination, some create the overall vision, and others act as a producer. Make sure your wedding coordinator provides the type of services that will most help you create the event you have in mind, such as selecting vendors and handling their contracts, or managing the guest list and invitations.
    • What are your ideas for fulfilling our wedding vision? After you describe your dream wedding — rustic or sophisticated, traditional or funky — the wedding coordinator should be able to suggest appropriate venues, menus, decorations, etc..

    Do you have a portfolio? Ask to see photos of their favorite weddings, especially if they’ve managed any that are similar to what you have in mind. This will help you see if you like their style and if their ideas seem fresh and creative.
