3 months before: Research options
  • Determine the event location and number of guests to get an idea of the number of photos and style desired.
  • Decide whether or not photographs will be offered to the guests at the function or just to you.
  • Decide how much of the event will require coverage, and determine whether the photographer will be paid hourly or per photograph.
2 months before: Hire a pro
  • Interview a variety of event photographers.
  • Choose a specialty photographer for very important events like weddings or for events that include animals or children.
  • Make sure the photographer understands your theme and shares your vision for the photographs.
  • Decide on the optimal number of photographs for your event. Choose a package that suits your event, or create a custom package.
  • Determine whether or not the photographer can provide photos on site, or find out the length of time required to obtain finished prints.
1 month before: Get supplies in order
  • Select photography props to include items like hats, glow sticks, glasses, or costumes depending on the type of event.
  • Set aside time to have entrance or exit photos taken prior to the event or following the event.
  • Ensure that the photographer is prepared for weather or lighting issues in regard to indoor or outdoor events.
2 weeks before: Finalize your wishes
  • Create a list of shots that are essential for the event.
  • Speak with the photographer to determine which shots are most important. List establishing shots and photos that capture the theme of the event.
  • Choose a shot that summarizes the event, and ensure that the photographer captures that photograph.
