- What is your typical process for working with a new customer?
1. Initial Consultation What It Is: A discovery meeting (either in-person or virtual) where you get to know the client’s vision, goals, and event details. What You’ll Do: Discuss the event type, theme, guest count, preferred venues, and any special requests. This is a chance for the client to ask questions and for you to outline your services. Outcome: You’ll gain a clear understanding of what they want, and the client will get a sense of your expertise and approach. 2. Customized Proposal & Pricing What It Is: After the consultation, you’ll provide a tailored proposal based on the discussed needs. What You’ll Do: Craft a detailed proposal outlining your services, timeline, and an estimated budget. If needed, offer a few different pricing options depending on their requirements. Outcome: The client can review the options and choose the best fit for their vision and budget. 3. Contract & Agreement What It Is: Once the proposal is accepted, you’ll formalize the arrangement with a contract. What You’ll Do: Provide a contract that clearly outlines your responsibilities, payment terms, timelines, and any additional terms. This ensures transparency and prevents misunderstandings. Outcome: Both parties agree to the terms, and you secure the booking. 4. Planning & Vendor Coordination What It Is: The bulk of the event planning happens here, where you’ll begin executing the vision. What You’ll Do: Help with venue selection, decor, catering, entertainment, and other event specifics. If you offer vendor coordination, you’ll manage bookings and contracts with trusted vendors. Outcome: The event takes shape, with all the key components falling into place. 5. Final Review & Event Confirmation What It Is: A final check-in a week or two before the event. What You’ll Do: Review all event details with the client, confirm logistics, and ensure everything is set. This is also when you’ll finalize any last-minute details. Outcome: Both you and the client are confident that everything is in place and ready to go. 6. Event Day Coordination What It Is: The day of the event when your expertise truly shines. What You’ll Do: Manage the event flow, troubleshoot any issues, ensure vendors are on schedule, and handle all logistics so the client can enjoy their event. Outcome: A seamless, stress-free event where everything runs smoothly and the client’s vision comes to life. 7. Post-Event Follow-Up What It Is: After the event, you’ll check in with the client to gather feedback and ensure satisfaction. What You’ll Do: Thank the client for their trust, ask for any feedback, and provide assistance with any post-event needs (e.g., vendor payments or lost items). Outcome: Strengthen the relationship with the client and gather testimonials or reviews to showcase your work.
