Kimo was beyond amazing! Kimo showed up at our venue a few days before the wedding to scope things out and come up with a game plan! Offered great advice to us as to the setup and smoothness of the wedding. Kimo's staff was so helpful and friendly! They cleaned up everything, were on time, and really made our wedding special! Kimo's food is to die for! We had prime rib, grilled chicken with a papaya salsa, potato salad, a regular salad, coconut lime rice, and vegetable pilaf. Everyone loved the food! The chicken was so moist and fresh, I was so impressed! They helped us with our cocktail hour and our s'mores bar for dessert! Kimo's Akamai Catering goes above and beyond to service your wedding/event and makes amazing food!

I am a project manager by profession so I really didn't think I needed a wedding planner or day of coordinator. That being said I could not be more thankful I hired Chavah and her team to help for my special day. I never thought having a destination wedding would be so difficult, but Chavah and her team were ready for anything anyone (vendors, weather, life) threw at me. They were a few steps ahead of me every step of the day. Not only were they amazing at communicating, they also had an awesome online program we used to communicate (tasks, budgets, timelines, etc). I am SO HAPPY I hired Vida Chic for the special day (wedding planning + florals), if you're on the fence - make the call and hire them. You won't regret it.

DJ Carlos provided both DJ/MC and up-lighting services for our wedding at Café Julia, Honolulu, Hawaii. Overall, we are pleased with East-Coast Productions meeting/exceeding our expectations. Here are a few bullet points regarding his work. * Flexible – Carlos and his assistant Tasia will provide you word.doc worksheet to fill out in advance as a recommended outline to follow for your wedding reception. However, we already had a wedding planner who had her own way of organizing the night. Carlos and Tasia were able to work with our wedding planner to tailor the night to the way we wanted it and was able to shuffle things around (bouquet toss, speech, first dance) on the fly. They were also able to fit in a surprise speech/toast that our uncle wanted to give last minute! * Music – Like any skilled DJ, Carlos is able to make the music match the mood and also get people moving on the dance floor. They will work with you regarding your preferences. However, we appreciated the fact that Carlos and Tasia were able to accommodate other requests. During cocktail hour, we wanted violin covers of modern songs to match the European feel of our venue. We provided a small list of recommended artists in the planning stages. On the actual day, DJ Carlos surprised us by finding other compatible songs that we didn’t list down that fit in perfectly. * EMCEE – DJ Carlos possesses good command with crowd and has an awesome personality. He is funny without being overtly sarcastic. He is able to make the event flow nicely and is a good communicator. * Price – Very reasonable. I don’t remember how much we spent, but if it helps, my wife and I are the “do-it-yourself” types and so you know choosing DJ Carlos helped us stay within budget. * Bonus – After our wedding, Tasia provided us with high quality pictures of the event. We highly recommend East-Coast Productions for your DJ/MC/uplighting needs for any event. Carlos and Tasia will work with you months/weeks in advance to make sure your event runs smoothly. They are very professional, yet friendly and accommodating. As another reviewer said they truly embody the Aloha Spirit. We had a memorable night and are glad to have had Carlos as our DJ.

Jeremy is one of those special, one-of-a-kind humans beings, and my husband and I could not have asked for a more perfect person to have alongside us at our wedding. He worked closely with us and was so attentive and accommodating to our needs and requests. Our ceremony was exactly what we wanted - poignant, sweet, short, and with all the right personal touches. It felt like having a very close friend instead of an officiant blessing and honoring our marriage. If you are considering hiring Jeremy/Hanai events for your special occasion - I highly recommend! You will not be disappointed in their kindness, attention to detail, and earners to go above and beyond.

We worked with Kurt for both our engagement photos leading up to the wedding, and throughout the entire wedding day. Kurt was prepared and full of energy, catching every moment of our special day with his unique perspective. He made us feel at ease, even with the posed photos! We are beyond thrilled with the end results, and cherish the way he was able to capture the emotions and details, as well as the family and friends that contributed to our wedding day. I have no hesitation highly recommending Kurt Stevens to anyone looking for a talented, friendly and professional photographer.

Lee made our wedding wonderful. My friends and family loved how she decorated and managed our wedding overall. I was nervous how my wedding would turn out because I had no idea what to do. She taught us every step of the way with patience and kindness. I looked into a couple of wedding planners, but her service fee was a lot lower than the others. Granted, I wasn't expecting much, but she performed above and beyond expectations. If anyone is having a wedding in Hawaii (ohahu), I would 100% recommend Lee from JWL with all confidence!!

I cannot emphasize enough how wonderful Tropical Moon Events was at our wedding. All of the cocktails were such huge hits that they were all everyone wanted to drink--even those who usually only drank wine or beer! Most notably, the Passion Mai Tais and Lychee Mint Spritzers were everyone's favorite. I thought that the Cucumber Basil Gin & Tonic was very refreshing. The bartenders were so wonderful and fun, and kept up a great pace for all of the thirsty guests. The party would not have been the same without Tropical Moon Events there to liven it up!

Lei is an amazing wedding day-of coordinator! We hired her for our wedding and she was exactly what we were looking for. Lei is professional, possessed great communication skills, she’s thorough, friendly, easy to talk to, organized, a quick thinker, efficient/ fast, reliable, and respectful of what you envision for your event. She didn’t only help us with day-of tasks, but assisted in all aspects of the planning. On the day of our wedding, she was there from 9am to 11pm and did not stop working. She executed everything nicely and helped and led everything from set up to clean up. Lei is the first one there, last one out type of person. My family referred to her as the energizer bunny. Lei has the perfect personality for her job and genuinely enjoys doing what she does. We highly recommend her for your wedding or other events. Thank you Lei!

Something New planned our wedding in September 2016 at Kualoa Ranch, Oahu. It was the best money we spent on our entire wedding! Charelle and Jillian have tremendous experience and provided the best guidance. Their focus on details, organization, schedule, and communication made our day perfect, as well as far less stressful. They have the best connections and recommended only the top tier and best value vendors for our wedding. I felt that Charelle and Jillian went above and beyond on each piece of our wedding celebration. They even helped with some events we wanted to plan on the days leading up to the event. Both Charelle and Jillian are lovely, kind, smart, easy-going, and positive people, which really helped during the high stress planning and event. Our guests have said it was one of the best weddings they have ever attended, wedding of the century! This is in large part because of Something New.

Kalona helped put together some of the logistics around our wedding at Waimanalo Bay in Hawaii. This included coordinating the photographer and arranging for a wedding cake as well as beach permit, flowers and chuppah. We really appreciate Kalona's work in helping make sure our day was extra special. Kalona was always responsive when we contacted her leading up to the wedding, and we were very happy with everything she coordinated. She was very helpful in providing recommendations for our wedding when we requested them. We have no hesitation in recommending Kalona's services, as she was incredibly helpful and professional leading up to and on our wedding day.

Colby helped me find multiple options for my wedding. From her suggestions I found an amazing fake florist, an incredible DJ, an impeccable makeup artist, a perfect photographer, and a hairstylist who blew my socks off! She was amazing at not only finding me the great selections I made to help my wedding be perfect, but she excelled at giving me OPTIONS for each of them, so I could choose those that really suited my, my groom, and our wedding! Thank you Colby for all your help. We couldn't have done it without you!

      Q & A

Answers to commonly asked questions from the experts on Thumbtack.

What does a wedding event coordinator do?

Pulling off a large, complex wedding or an elegant, small affair requires juggling myriad details, including the officiant, food, drink, wedding cake, entertainment, transportation, rehearsal dinner, photography, equipment rentals, venue reservations and more. A wedding event coordinator can help you keep track of these details, overseeing the planning process and managing everything on the day of your wedding. Each wedding coordinator (and wedding) is different, but in general you can expect an event coordinator to:

      • Help you devise a realistic wedding budget and hold your vendors to it.
      • Map out a master plan that includes all of the details including ceremony music, favors, the guest book and more.
      • Suggest ceremony and reception locations that fit your wedding size, budget and vision.
      • Suggest florists, photographers, bands, caterers and other vendors that fit your budget.
      • Negotiate vendor contracts for the best deals.
      • Create a timeline for the day of the wedding that includes each vendor and member of your wedding party.
      • Mail invitations and track RSVPs.
      • Answer questions about wedding etiquette and current wedding trends.
      • Manage the wedding day from supervising vendors and setup to handling last-minute emergencies.

      What is a wedding planner?

A wedding planner is a professional service provider whose job it is to organize and execute all the details of a couple’s wedding. A wedding planner can be contracted at any stage in the wedding planning process to help to any degree the couple is willing to pay for. Wedding planning is similar to event planning in that a planning team handles the coordination of multiple wedding elements including catering, venue, guests, entertainment, decor, transportation and more. Anyone who has ever been involved in a wedding can confirm that wedding planning is hard work. Experience brings wisdom when it comes to avoiding or resolving day-of challenges. There is no legal regulatory body that oversees or certifies wedding planning as an industry. Anyone who chooses can call themselves a wedding planner. When looking for a wedding planner, be sure to read reviews, and make smart hiring decisions by asking about licenses and insurance.

How much do day-of wedding coordinators cost?

A day-of wedding coordinator makes sure that every detail of your wedding day goes off without a hitch, and deals quickly and quietly with any last-minute emergencies. For many brides, the day-of wedding coordinator is their best investment! The average national cost for a wedding coordinator is $800 to $1,000. Although full-service wedding coordinators often charge a percentage of the total wedding budget, most day-of coordinators charge a flat fee plus an additional hourly fee if the day runs long. For example, a 15-hour day-of coordination costs an average of $600, plus an additional $45 per hour if the coordinator works more than the planned 15 hours. Another option is to hire a coordinator to manage the last-minute details leading up to the event; for example, 25 hours of month-of coordination costs an average of $1,200. Several factors affect the cost of day-of coordination, including the region, the planner’s experience, and the specifics of the wedding. If the ceremony and reception are in two different locations, expect to pay more than if they’re in the same place. Also, extra details, such as managing food trucks or setting up snacks in addition to the meal, will increase the cost.

What should you ask a wedding coordinator?

When you hire a wedding coordinator, you want to make sure he or she gets you and can execute perfectly your vision of your dream wedding. To find the very best fit, it’s important to ask these five questions:

      • Are you available on my wedding date? If the coordinator isn’t available on your big day, there’s no reason to continue the interview — unless you’re willing to shift your date to accommodate their schedule.
      • What’s average cost of most of your weddings? If the coordinator’s usual wedding is outside your range, they might not be the right coordinator for you. Ask whether the coordinator requires a minimum wedding budget. In general, the wedding coordinator’s fee should be about 15 percent of your budget.
      • What is your speciality? Some coordinators specialize in day-of coordination, some create the overall vision, and others act as a producer. Make sure your wedding coordinator provides the type of services that will most help you create the event you have in mind, such as selecting vendors and handling their contracts, or managing the guest list and invitations.
      • What are your ideas for fulfilling our wedding vision? After you describe your dream wedding — rustic or sophisticated, traditional or funky — the wedding coordinator should be able to suggest appropriate venues, menus, decorations, etc..

Do you have a portfolio? Ask to see photos of their favorite weddings, especially if they’ve managed any that are similar to what you have in mind. This will help you see if you like their style and if their ideas seem fresh and creative.

Do I need a wedding day coordinator?

Even if you’ve handled every detail of planning your wedding, you might appreciate having a day-of wedding coordinator in your corner. Usually, the coordinator meets with you a few weeks before your wedding to put together a detailed timeline of everything that needs to happen on your wedding day. Then, on the big day, the coordinator makes sure everything goes according to plan — and handles any emergencies that pop up, such as party crashers, missing tuxedos, late vendors, disappearing bridal party members and more. Most wedding coordinators also handle:

      • Distributing the wedding day timeline to all of your vendors.
      • Coordinating all of your vendors, including the photographer, florist and baker.
      • Conducting the wedding rehearsal.
      • Helping the bride and her wedding party get dressed and take photos.
      • Checking floor plans, lighting levels, cake placement, menus, favors and more.
      • Collecting the wedding gifts and keeping personal items safe and accounted for.

Even if you don’t think you need a wedding coordinator, check with your venue. Some require that couples hire a day-of wedding coordinator for the day of the event.

Hire skilled professionals for absolutely everything.
