Planning checklist

Prepare for success by getting started now.
4 months before: Begin planning
  • Decide on a theme for your party. Choose decorations that fit your theme.
  • Choose a date that centers on a holiday or other special occasion.
  • Create an invitation list. Remember only about 80 percent of invited guests will attend.
  • Visit several venues to determine the best location for the party. Consider weather or noise restrictions.
  • Choose a venue that suits your party style. Ask about menu services if the event lasts more than 2 hours.
3 months before: Handle food and invites
  • Determine whether the venue is able to cater the event, or make the food yourself if desired.
  • Speak with the venue about food setup times, catering options, or simple refreshments.
  • Send invitations to guests at least one month prior to the party date.
2 months before: Book entertainment
  • Select the music for your party. A DJ might be perfect for an evening event, or select live musicians for a more formal affair.
  • Meet with the DJ or music manager to determine song lists, special requests, or specific requirements.
  • Arrange for help if desired. Full catering and wait staff might be required. Consult with the staff to ensure proper attire.
1 month before: Make final preparations
  • Check the final guest list, and mark off guests who are unable to attend.
  • Provide a final head count to the venue and catering staff.
  • Create a backup plan if the party is an outdoor event.
The day of: Set up in time
  • Arrive at the venue at least an hour prior to the start time to ensure everyone is prepared for the arrival of guests.
