Pulling off a large, complex wedding or an elegant, small affair requires juggling myriad details, including the officiant, food, drink, wedding cake, entertainment, transportation, rehearsal dinner, photography, equipment rentals, venue reservations and more. A wedding event coordinator can help you keep track of these details, overseeing the planning process and managing everything on the day of your wedding. Each wedding coordinator (and wedding) is different, but in general you can expect an event coordinator to:

  • Help you devise a realistic wedding budget and hold your vendors to it.
  • Map out a master plan that includes all of the details including ceremony music, favors, the guest book and more.
  • Suggest ceremony and reception locations that fit your wedding size, budget and vision.   
  • Suggest florists, photographers, bands, caterers and other vendors that fit your budget.

How much do day-of wedding coordinators cost?

A day-of wedding coordinator makes sure that every detail of your wedding day goes off without a hitch, and deals quickly and quietly with any last-minute emergencies. For many brides, the day-of wedding coordinator is their best investment! The average national cost for a wedding coordinator is $800 to $1,000. Although full-service wedding coordinators often charge a percentage of the total wedding budget, most day-of coordinators charge a flat fee plus an additional hourly fee if the day runs long. For example, a 15-hour day-of coordination costs an average of $600, plus an additional $45 per hour if the coordinator works more than the planned 15 hours. Another option is to hire a coordinator to manage the last-minute details leading up to the event; for example, 25 hours of month-of coordination costs an average of $1,200. Several factors affect the cost of day-of coordination, including the region, the planner’s experience, and the specifics of the wedding. If the ceremony and reception are in two different locations, expect to pay more than if they’re in the same place. Also, extra details, such as managing food trucks or setting up snacks in addition to the meal, will increase the cost.

What should you ask a wedding coordinator?

When you hire a wedding coordinator, you want to make sure he or she gets you and can execute perfectly your vision of your dream wedding. To find the very best fit, it’s important to ask these five questions:

  • Are you available on my wedding date? If the coordinator isn’t available on your big day, there’s no reason to continue the interview — unless you’re willing to shift your date to accommodate their schedule.
  • What’s average cost of most of your weddings? If the coordinator’s usual wedding is outside your range, they might not be the right coordinator for you. Ask whether the coordinator requires a minimum wedding budget. In general, the wedding coordinator’s fee should be about 15 percent of your budget.
  • What is your speciality? Some coordinators specialize in day-of coordination, some create the overall vision, and others act as a producer. Make sure your wedding coordinator provides the type of services that will most help you create the event you have in mind, such as selecting vendors and handling their contracts, or managing the guest list and invitations.
  • What are your ideas for fulfilling our wedding vision? After you describe your dream wedding — rustic or sophisticated, traditional or funky — the wedding coordinator should be able to suggest appropriate venues, menus, decorations, etc..

Do you have a portfolio? Ask to see photos of their favorite weddings, especially if they’ve managed any that are similar to what you have in mind. This will help you see if you like their style and if their ideas seem fresh and creative.

Do I need a wedding day coordinator?

Even if you’ve handled every detail of planning your wedding, you might appreciate having a day-of wedding coordinator in your corner. Usually, the coordinator meets with you a few weeks before your wedding to put together a detailed timeline of everything that needs to happen on your wedding day. Then, on the big day, the coordinator makes sure everything goes according to plan — and handles any emergencies that pop up, such as party crashers, missing tuxedos, late vendors, disappearing bridal party members and more. Most wedding coordinators also handle:

  • Distributing the wedding day timeline to all of your vendors.
  • Coordinating all of your vendors, including the photographer, florist and baker.
  • Conducting the wedding rehearsal.
  • Helping the bride and her wedding party get dressed and take photos.   
  • Checking floor plans, lighting levels, cake placement, menus, favors and more.
  • Collecting the wedding gifts and keeping personal items safe and accounted for.

Even if you don’t think you need a wedding coordinator, check with your venue. Some require that couples hire a day-of wedding coordinator for the day of the event.

Brandi was the “day of” coordinator for my daughter’s wedding in October 2020. She was absolutely AMAZING to work with! We had the wedding at a church, the reception at a restaurant and the bride and bridesmaids got ready at a third location. Brandi was on top of everything and made sure my daughter’s day flowed smoothly, arranging small details that meant so much (like bride and groom and parents of the bride and groom having their drink of choice ready and waiting for us upon arrival to the restaurant). She coordinated with all our vendors on the day of so I didn’t have to do any of that and she did so, so much more. After we contracted with Brandi, she met with my daughter to get a vision for her wedding and offered suggestions and helpful ideas. She worked with us on the floor plan for the reception and drafted the timeline for the wedding day, then coordinated with our vendors the month prior to wedding making sure they all understood when they needed to arrive, etc. To sum it up, she made the wedding day so enjoyable and easy for both the bride and myself, handling everything that day so that we didn’t have to.

Corley and Juan were nothing short of incredible for our wedding! Corley was the best wedding coordinator - we got so many comments about how on top of it she was, and everything ran smoothly! She also went above and beyond as a "day-of coordinator," working with our vendors and attending several meetings with the venue. Juan was the perfect DJ as well! He worked with us to find the perfect music selection and even mixed a few songs when we wanted them to be shorter or to fade into another song. He was so professional and a joy to work with. Corley was an amazing day-of coordinator. The week of our wedding, Corley was in communication with all the vendors and confirmed all details with them. She helped us manage communication when our hotel had to change at the last minute. She attended our rehearsal the day before the wedding. She dropped off sandwiches for the bridesmaids on the day of the wedding. She also went early to decorate the venue (and it looked incredible!) She ran the ceremony and helped us stay on schedule. She organized all of the clean up and made sure the items were repacked in the correct cars. I couldn't recommend Corley highly enough!

They literally took all the stress and worries away. On my wedding day, I was able to relax and just enjoy my time getting ready! I literally had the PERFECT day! I hired Brandi for day of coordination, which actually starts about 30 days prior to coordinate with vendors arrival times, details, etc. to ensure that everything the day of the service would run smoothly. When I was researching wedding coordinators Brandi was very persistent. We had a very lengthy conversation about what I was looking for and what she offered so that we could assess whether this would be a good fit. I shared with her the proposal from another person I was speaking with to let her know how I would be making my decision. She followed up very frequently but I felt like as much as she was pushing me for an answer that she would work that hard on my behalf so I selected her. I must say that working with Brandi was the most stressful part of my wedding process. I had created a full spreadsheet for program, ceremony and timeline for day of. She built a timeline/agenda for the day of and missed key details that were in my spreadsheet. She told me she did not go back to look for updates or changes even though I'd told her that there had been some. She provided incorrect information to the vendors on more than one occasion because she didn't TALK to me. I asked several times for us to talk because things seemed to continually get mixed up in our texts and email, however, that did not happen. She was very good at telling me what she was not responsible for, could not do or would not do but came up short on providing alternative solutions. I'd asked her to go visit the venue ahead of time so we could talk through any logistical things since the reception, cocktail hour and ceremony were all being held the same place. She assured me that she would, but never did. Her emails and texts typically ended with a smiley face but I did not feel very happy working with her. I was very frustrated and did not feel good going into the wedding. A friend of mine stepped in and made sure the day went off without a hitch. I have no doubt that things would have gone miserably wrong if it were not for my friend. My maid of honor arrived in the limo with me, went in to get lined up and said she was given no instructions, didn't know where her bouquet was etc. and was so frazzled trying to figure out where to go and what to do that she got to the alter and had left the ring in her bag. My mother was upset that people were being let in once they had lined up to walk in. The door should have been held/closed once the preacher walked out. After the ceremony, Brandi called to ask me about trash and who was taking it out. She said the caterer had left. Then the caterer called me saying her people were there. I don't know exactly what was going on but the night of my wedding the last thing I want to be worried about is frigging trash. I'm not sure why my experience was so drastically different than the glowing 5 star ones listed here from before. All in all our wedding was absolutely amazing. However, my engaged girlfriend said to me, "I'm using all of your exact same vendors, except for Brandi". I would agree.
