When I started planning my wedding, I felt overwhelmed by the task of building a team for my special day. I did several phone interviews with bartenders, but I really only needed to do one. Drew was so professional, knowledgeable, and helpful that I knew right off the bat that I would hire him. When I first met him the day of my wedding, I was feeling so nervous and uptight. When Drew introduced himself and his team of Vincent and Kali, their warm and easygoing smiles immediately put me at ease. They set up lightning fast and even zoomed to the store to get more ice and lemons before the event started! They were so professional and personable...almost every one of my guests commented on how much they loved Drew and wish he could have stayed even longer! I gave Drew and his team a very difficult task of pouring champagne for nearly 100 people, then during the toast and cake cutting, asked them to break down the tables and chairs to clear the dance floor. Somehow, they pulled it off....plus they finished in time to help cut and pass cake!! One of the best parts is that at the end of the evening while I was dancing with all of my friends and family, they cleared the remainder of the tables, and folded and stacked the chairs. They cleared away all of the garbage and recycling and left it neatly tied by the cans. I can't believe how quietly and efficiently they worked and I literally did none of the clean up. I will always be grateful to Drew, Kali, and Vincent for making my wedding perfect. Thank you!!!

I hired Rev. Saundra through thumbtack to be the officiant for my wedding March 30th 2016. And she was everything that I could of ever imagined and more. She met with my fiance and I and got a feel for our character. She is very attentive and friendly she made my wedding planning go so smoothly since she is also a coordinator. During the reharshal she was able to quickly get everybody in their correct places. During the actually wedding day she had such good energy and I felt like she was in my life for way longer than a month. She is truly God sent and I was honored to have her marry me and my husband.

Michael showed up on time, stayed late, and made sure all 80+ people at my wedding were served promptly. He was able to handle a crowd of drinkers by himself and the drinks were very good.

Manya communicated with me constantly. I had several items on my "Wish List" and she made all of them come true. I HIGHLY recommend Dazzling Streaks. We had 250 people at our company picnic. I had compliments the whole time and after the picnic. Our Marketing people loved her too. Better start hiring Dazzling Streaks before her calendar fills up! :0) Thanks Manya for making this experience a great one!

I found Matt as a great and competitive bid on Thumbtack for my wedding personal flowers. I had made my own centerpieces and alter pieces. I sent Matt pictures of my inspiration bouquet and my own creations. I told him I was open minded as long as everything flowed nicely together. I was more than pleased! We got much larger flower arrangements than I had anticipated for the price. They looked amazingly similar to my inspiration pic and also blended well with the decor I had created. Matt was very responsive and easy going via email and didn't worry that one of my payments was a bit late. My wedding planner picked up the flowers, but she said there were no problems with this process either. Overall, flowers were not something I thought I cared too much about--however Matt not only made them fit within my budget, but also made them one of my favorite touches to our wedding. I cannot recommend Forsyth Designs enough. Wonderful to work with all around.

Actually I didn't meet the LadyMarry coordinator and florist, until the rehearsal day, because I was planning my wedding remotely in New York. They are very responsive and patient to my endless questions, and did a great job about organizing the rehearsal and communicating with the other vendors. I always saw Melissa and Donna running around. Hiring you was the best decision I made for my wedding. Thank you!

An associate recommended Rainbow Chefs to provide the food for an event I was planning for a family gathering. I decided to go through with their services. There were kids and adults participating so I was a little nervous about how it would go, but everyone had a great time! It was so fun and interactive for the kids. The food was delicious! Would definitely recommend Rainbow Chefs!

Marianne was our florist for our wedding and EVERYTHING was absolutely BEAUTIFUL! We got so many compliments with all the services she provided for us. She brought my visions to life!! She's very sweet, professional and responds to any questions or concerns promptly. My mother and I are extremely detail oriented and she did everything she could to make sure my wedding was perfect and beautiful. Marianne listened to all my thoughts and ideas and was able to give feedback and follow with other amazing ideas. I had many headaches and stressful moments planning my wedding, but I never had to stress about my flowers because I trusted her with everything and knew she was going to make things wonderful. I can't thank her enough for all the hard work she did. I recommend Marianne for not only weddings but any occasion that you need a florist!

I've had the opportunity to work with Miss Harper as her photographer on many occasions. Through observing her process of developing a experience, planning all the details with the client for a wedding, to the detail with a client for a birthday party with more then 100 guests. Her attention to detail and follow though with the requests of clients has provided her opportunity to provide services to several clients in the corporate arena in the finance and technology sectors. Most don't know what goes into the planning and preparation to deliver and execute a catered experience. Our clients trust us to provide what they have requested, based on what's ordered. When it comes to designing and delivering productions which are memorable and leave pleasant memories, the details matter. Our clients expect us to think through everything and have a backup plan for those unexpected situations which may crop up. To all those who are considering contracting with her. We were extremely happy with Taneva Events. We wanted a simple but elegant wedding in Hawaii and Velina at Taneva Events provided that and more for us. She worked with us on everything from the smallest detail on the dinner napkins to working with vendors on logistical details, setup on the day of the wedding and ensuring our day was perfect. We did not have a clear idea of what we wanted to do for our wedding besides the fact that we wanted to keep it simple and take advantage of the natural beauty of the setting. Velina was really helpful from the start, brainstorming ideas with us, and making suggestions for the decor that we would have never thought of on our won. We did not want traditional flower centerpieces, and Velina was able to accommodate us by creating beautiful pineapple centerpieces, and tied them all together with the runner, candles, handmade napkins, and pedestals that she placed the pineapples on. Everybody complemented the decor and the bridal bouquet that she created from traditional Hawaiian flowers. We could not have had such a beautiful and smooth day without Velina's help. Planning for a wedding is always stressful, but Velina eased a lot of our stress and was always a pleasure to work with.

I hired Jennifer a week before my wedding because our previous bartender had to cancel due to a passing of a dear friend's mother. Jennifer stepped up to the challenge. She was very easy to work with. She kept everyone at the wedding satiated and she even brought a bar-back to help fill in any gaps. Not only did they mix our favorite drinks, but they helped set up the station, and even poured champagne at the tables. Jennifer was professional, easy to work with, punctual, and very responsive. Great work! Jennifer, thank you so much for filling in last minute and knocking it out of the park for us. You made our day very special.

From a parent’s perspective, the day your only daughter gets married is a day like no other! Looking back at Jessica and Mike’s wedding last year at Mission Santa Clara, we are filled with deep gratitude for the many amazing vendors that contributed to such a memorable day - and Mary Kay Mitchell of MKultra Events was at the top of our list! Contracting with Mary Kay to help us plan and organize the myriad of details and logistics was undeniably one of our smartest decisions! I'll never forget Mary Kay's reassuring words on the day we first met, several months before the wedding: "YOUR job is to celebrate, have fun, be with your daughter, your future son-in-law, your family...and experience fully the joy of each moment of the day! Forget about the the logistical details, the vendors, and 'To Do' tasks. That's MY job - Leave that to me!" Whew! A huge weight and concern was lifted from our shoulders! In the months before the wedding, Mary Kay collaborated and strategized with us on event planning/details such as reception table decor, flowers, maps, web content, directional signage, music, gift-baskets for our out-of-town guests, etc., etc. When 20+ relatives arrived from the East Coast the week before the wedding, we could "let go" and hand the remaining 'To Do' lists and details over to Mary Kay! After months and months of planning, the 'Big Day' goes by in a flash. As a parent, what do you want to remember? Certainly not logistics or unexpected surprises. No one has a crystal ball, and one never knows what unexpected issue or circumstance might "pop up" on the actual day of the wedding. With her years of hands-on experience, numerous vendor connections and expertise in wedding planning and large events, our hearts and minds were *immediately* put at ease. We knew Mary Kay could handle any situation that might come up. Mary Kay, your 'can-do' attitude, positive energy, creative solutions, time (and money!) saving suggestions, excellent planning and communication skills, infectious laugh and sense of humor... well, simply put, we truly cannot THANK YOU enough. We feel doubly blessed, as we now have a new friend in you! :-) You've made a HUGE difference in our lives - and ensured that a once-in-a-lifetime day filled with high and heartfelt emotions, nervous energy, joyful tears, prayers, celebration, dancing, laughter and love … would be a day like no other!

Robyn made my bridal shower a total surprise! I was not expecting it at all. It was based on me, as the theme was what I love best, horses. I could tell she had spent so much time researching to find decorations and party favors that would make my bridal shower so special. She also helped plan my backyard wedding. I'm not a very good party planner myself so had no idea where to start. When I hired her, she stepped right in and took the control I was looking for. I could relax and have a great time at my wedding knowing every little detail was being watched and taken care of by Robin.

They say a wedding is only as good as the people who plan it. We absolutely LOVED working with Rubal at Events by Rubal!!!! We have the Rubal to thank for the most beautiful, seamless and perfect day in our lives! From the moment we hired Rubal, we felt not one ounce of stress or worry for our wedding day. Who knew wedding planning could be so fun? Rubal is the sweetest, most creative, talented and organized person and it genuinely shows through her amazing events. She was there every single step of the way from the concept and design of the wedding, helping us find amazing vendors, organizing and facilitating all vendor meetings, and providing us with professional guidance in a non-obtrusive and tasteful way. With my husband and I both working full time jobs, she made planning SO easy and stress free. Our wedding was absolutely stunning and flawlessly executed and it we owe it all to Rubal's dedication to ensure that we had and ENJOYED the wedding of our dreams. We received overwhelming compliments on not only the design details, but how smooth, elegant and effortless the wedding day was. It was the best decision we could have ever made to hire Rubal to plan our wedding and feel so lucky to have worked her. Rubal we love you! - A+M

My wife and I had thought we'd do our own wedding planning. We'd found our venue and vendors on our own; how hard could the finishing touches be? Especially for the small, simple event we envisioned? In hindsight, we'd accomplished only the easiest parts of the process, and without Diana and Tammy's help I don't know how we would have had the wonderful, stress-free event that we did. While we hired them as day-of-coordinators, they provided much more than day-of services, taking over vendor interactions months in advance of the actual event, actively helping to plan table layouts and other details, and in weekly video chats they provided organization and discipline that kept my wife and I on-task. There's so much work behind even a "simple" wedding that we hadn't even thought about, but Diana and Tammy guided us through it all. They were lifesavers; our wedding day was everything we'd hoped that it would be, and Diana and Tammy were absolutely critical to making it happen.

I needed help with a last minute holiday work dinner party I volunteered (and forgotten about) to have in my home. I called her panicking and she listened patiently to my situation. She asked me a few questions such as my style, how many people, the food was I going serve? I had nothing planned! Brea whipped together a beautiful place setting and party quickly, and on time! No one knew this was planned and put together the same day. I will definitely call her again for another party!

Q & A

Answers to commonly asked questions from the experts on Thumbtack.

What does a wedding event coordinator do?

Pulling off a large, complex wedding or an elegant, small affair requires juggling myriad details, including the officiant, food, drink, wedding cake, entertainment, transportation, rehearsal dinner, photography, equipment rentals, venue reservations and more. A wedding event coordinator can help you keep track of these details, overseeing the planning process and managing everything on the day of your wedding. Each wedding coordinator (and wedding) is different, but in general you can expect an event coordinator to:

  • Help you devise a realistic wedding budget and hold your vendors to it.
  • Map out a master plan that includes all of the details including ceremony music, favors, the guest book and more.
  • Suggest ceremony and reception locations that fit your wedding size, budget and vision.
  • Suggest florists, photographers, bands, caterers and other vendors that fit your budget.
  • Negotiate vendor contracts for the best deals.
  • Create a timeline for the day of the wedding that includes each vendor and member of your wedding party.
  • Mail invitations and track RSVPs.
  • Answer questions about wedding etiquette and current wedding trends.
  • Manage the wedding day from supervising vendors and setup to handling last-minute emergencies.

What is a wedding planner?

A wedding planner is a professional service provider whose job it is to organize and execute all the details of a couple’s wedding. A wedding planner can be contracted at any stage in the wedding planning process to help to any degree the couple is willing to pay for. Wedding planning is similar to event planning in that a planning team handles the coordination of multiple wedding elements including catering, venue, guests, entertainment, decor, transportation and more. Anyone who has ever been involved in a wedding can confirm that wedding planning is hard work. Experience brings wisdom when it comes to avoiding or resolving day-of challenges. There is no legal regulatory body that oversees or certifies wedding planning as an industry. Anyone who chooses can call themselves a wedding planner. When looking for a wedding planner, be sure to read reviews, and make smart hiring decisions by asking about licenses and insurance.

How much do day-of wedding coordinators cost?

A day-of wedding coordinator makes sure that every detail of your wedding day goes off without a hitch, and deals quickly and quietly with any last-minute emergencies. For many brides, the day-of wedding coordinator is their best investment! The average national cost for a wedding coordinator is $800 to $1,000. Although full-service wedding coordinators often charge a percentage of the total wedding budget, most day-of coordinators charge a flat fee plus an additional hourly fee if the day runs long. For example, a 15-hour day-of coordination costs an average of $600, plus an additional $45 per hour if the coordinator works more than the planned 15 hours. Another option is to hire a coordinator to manage the last-minute details leading up to the event; for example, 25 hours of month-of coordination costs an average of $1,200. Several factors affect the cost of day-of coordination, including the region, the planner’s experience, and the specifics of the wedding. If the ceremony and reception are in two different locations, expect to pay more than if they’re in the same place. Also, extra details, such as managing food trucks or setting up snacks in addition to the meal, will increase the cost.

What should you ask a wedding coordinator?

When you hire a wedding coordinator, you want to make sure he or she gets you and can execute perfectly your vision of your dream wedding. To find the very best fit, it’s important to ask these five questions:

  • Are you available on my wedding date? If the coordinator isn’t available on your big day, there’s no reason to continue the interview — unless you’re willing to shift your date to accommodate their schedule.
  • What’s average cost of most of your weddings? If the coordinator’s usual wedding is outside your range, they might not be the right coordinator for you. Ask whether the coordinator requires a minimum wedding budget. In general, the wedding coordinator’s fee should be about 15 percent of your budget.
  • What is your speciality? Some coordinators specialize in day-of coordination, some create the overall vision, and others act as a producer. Make sure your wedding coordinator provides the type of services that will most help you create the event you have in mind, such as selecting vendors and handling their contracts, or managing the guest list and invitations.
  • What are your ideas for fulfilling our wedding vision? After you describe your dream wedding — rustic or sophisticated, traditional or funky — the wedding coordinator should be able to suggest appropriate venues, menus, decorations, etc..

Do you have a portfolio? Ask to see photos of their favorite weddings, especially if they’ve managed any that are similar to what you have in mind. This will help you see if you like their style and if their ideas seem fresh and creative.

Do I need a wedding day coordinator?

Even if you’ve handled every detail of planning your wedding, you might appreciate having a day-of wedding coordinator in your corner. Usually, the coordinator meets with you a few weeks before your wedding to put together a detailed timeline of everything that needs to happen on your wedding day. Then, on the big day, the coordinator makes sure everything goes according to plan — and handles any emergencies that pop up, such as party crashers, missing tuxedos, late vendors, disappearing bridal party members and more. Most wedding coordinators also handle:

  • Distributing the wedding day timeline to all of your vendors.
  • Coordinating all of your vendors, including the photographer, florist and baker.
  • Conducting the wedding rehearsal.
  • Helping the bride and her wedding party get dressed and take photos.
  • Checking floor plans, lighting levels, cake placement, menus, favors and more.
  • Collecting the wedding gifts and keeping personal items safe and accounted for.

Even if you don’t think you need a wedding coordinator, check with your venue. Some require that couples hire a day-of wedding coordinator for the day of the event.

Hire skilled professionals for absolutely everything.
