What does a wedding event coordinator do?

Pulling off a large, complex wedding or an elegant, small affair requires juggling myriad details, including the officiant, food, drink, wedding cake, entertainment, transportation, rehearsal dinner, photography, equipment rentals, venue reservations and more. A wedding event coordinator can help you keep track of these details, overseeing the planning process and managing everything on the day of your wedding. Each wedding coordinator (and wedding) is different, but in general you can expect an event coordinator to:

  • Help you devise a realistic wedding budget and hold your vendors to it.
  • Map out a master plan that includes all of the details including ceremony music, favors, the guest book and more.
  • Suggest ceremony and reception locations that fit your wedding size, budget and vision.   
  • Suggest florists, photographers, bands, caterers and other vendors that fit your budget.
  • Negotiate vendor contracts for the best deals.
  • Create a timeline for the day of the wedding that includes each vendor and member of your wedding party.
  • Mail invitations and track RSVPs.
  • Answer questions about wedding etiquette and current wedding trends.
  • Manage the wedding day from supervising vendors and setup to handling last-minute emergencies.

How much do day-of wedding coordinators cost?

A day-of wedding coordinator makes sure that every detail of your wedding day goes off without a hitch, and deals quickly and quietly with any last-minute emergencies. For many brides, the day-of wedding coordinator is their best investment! The average national cost for a wedding coordinator is $800 to $1,000. Although full-service wedding coordinators often charge a percentage of the total wedding budget, most day-of coordinators charge a flat fee plus an additional hourly fee if the day runs long. For example, a 15-hour day-of coordination costs an average of $600, plus an additional $45 per hour if the coordinator works more than the planned 15 hours. Another option is to hire a coordinator to manage the last-minute details leading up to the event; for example, 25 hours of month-of coordination costs an average of $1,200. Several factors affect the cost of day-of coordination, including the region, the planner’s experience, and the specifics of the wedding. If the ceremony and reception are in two different locations, expect to pay more than if they’re in the same place. Also, extra details, such as managing food trucks or setting up snacks in addition to the meal, will increase the cost.

What should you ask a wedding coordinator?

When you hire a wedding coordinator, you want to make sure he or she gets you and can execute perfectly your vision of your dream wedding. To find the very best fit, it’s important to ask these five questions:

  • Are you available on my wedding date? If the coordinator isn’t available on your big day, there’s no reason to continue the interview — unless you’re willing to shift your date to accommodate their schedule.
  • What’s average cost of most of your weddings? If the coordinator’s usual wedding is outside your range, they might not be the right coordinator for you. Ask whether the coordinator requires a minimum wedding budget. In general, the wedding coordinator’s fee should be about 15 percent of your budget.
  • What is your speciality? Some coordinators specialize in day-of coordination, some create the overall vision, and others act as a producer. Make sure your wedding coordinator provides the type of services that will most help you create the event you have in mind, such as selecting vendors and handling their contracts, or managing the guest list and invitations.
  • What are your ideas for fulfilling our wedding vision? After you describe your dream wedding — rustic or sophisticated, traditional or funky — the wedding coordinator should be able to suggest appropriate venues, menus, decorations, etc..

Do you have a portfolio? Ask to see photos of their favorite weddings, especially if they’ve managed any that are similar to what you have in mind. This will help you see if you like their style and if their ideas seem fresh and creative.

Do I need a wedding day coordinator?

Even if you’ve handled every detail of planning your wedding, you might appreciate having a day-of wedding coordinator in your corner. Usually, the coordinator meets with you a few weeks before your wedding to put together a detailed timeline of everything that needs to happen on your wedding day. Then, on the big day, the coordinator makes sure everything goes according to plan — and handles any emergencies that pop up, such as party crashers, missing tuxedos, late vendors, disappearing bridal party members and more. Most wedding coordinators also handle:

  • Distributing the wedding day timeline to all of your vendors.
  • Coordinating all of your vendors, including the photographer, florist and baker.
  • Conducting the wedding rehearsal.
  • Helping the bride and her wedding party get dressed and take photos.   
  • Checking floor plans, lighting levels, cake placement, menus, favors and more.
  • Collecting the wedding gifts and keeping personal items safe and accounted for.

Even if you don’t think you need a wedding coordinator, check with your venue. Some require that couples hire a day-of wedding coordinator for the day of the event.

My husband and I hired Hayley from Hawkinson Events to coordinate our May 28, 2017 wedding at Untitled Supper Club in Chicago, IL. From my initial consultation phone call with Hayley, I knew she was our coordinator. Hayley is on her game. She is organized, professional, warm, friendly, funny, calm, detail-oriented, and loves weddings. (Spoiler Alert, that's EVERYTHING you want in a wedding coordinator). We met with Hayley a few times before our wedding (she was always willing to meet halfway or locally for us) and had many phone calls, texts, and emails throughout the planning process. She really lead us in to the final stretch with ease. I had no fears about handing off my hard work to Hayley that final month. She communicated in a clear and professional way with our vendors and family members/wedding party and helped make sure we weren't forgetting anything. She calmed my wedding planning anxieties (will the black table cloths be too dark?!) and shared in all of our excitement. On our big day, she set up the decor flawlessly while fully executing our vision, made sure the day of timeline she helped create went on as planned, and kept any issues at bay. Throughout our wedding day, my husband and I were thrilled of course to be married, but the one thing we kept saying to each other was "This is perfect. Everything today is absolutely perfect." - and we owe Hayley for that. At the end of the process, Hayley feels more like a good friend than a wedding vendor. Hiring Shannon as our day of coordinator was quite possibly one of the best choices we made in planning our very DIY wedding. She is an incredibly professional and organized coordinator who went out of her way to make our day an absolute dream. Megan was absolutely incredible! We knew within the first 5 minutes of meeting that she was the one we wanted to work with. We had spoken with other coordinators/planners, who came with lots of their own ideas about how our wedding day should go. Allana was our 30 day wedding planner and overall she did an excellent job. We had a lot of vendors for our big day and Allana made sure to keep everything in line in terms of communication and coordination; We didnt have to do much at all. The team is friendly but not what you want on your wedding day. Not organized or assertive. My sister had to take over things like getting the procession in place and more. Perhaps it would have been different if I paid more for more than day of services. But I can assure you, I did so much prep on a timeline for the DOC services to go well. And basically, saving grace is a waste of money. Either get the full package or get a different coordinator.

My wedding took place on August 31, 2018 and it wasn’t until 4 to 5 weeks before my wedding that I decided I needed a day of coordinator. When I read the reviews for Blanchard Spevial Events, they really impressed me. From the first time I spoke with Heidi, she put me at ease. She really took the time to talk to me about what I envisioned for my wedding day and was just so willing to help in any way possible. I had no idea how important that would be until I realized that I hadn’t purchased the flowers and some of the decor that I needed for the wedding venue. This was two days before the wedding and without Heidi‘s help, things just would not have come together the way they did. She worked with the venue decorator to pull together the look that I wanted with items that she had access to. She also managed to keep me calm from the day of the walk-through right through the wedding. I greatly appreciate her patience, knowledge of how the wedding should flow, and outstanding ability to work with people. Choosing to work with her was one the best decisions I made and I am so grateful to Heidi for everything she did to help make my wedding a beautiful success.

We cannot say enough great things about Heidi and highly recommend her wedding services to any other couples! Heidi served as our wedding coordinator in September 2017 and she was worth her weight in gold so that we could have a relaxing and elegant wedding. Thanks to Heidi we were able to truly enjoy our time with all of our guests many of whom had traveled from Europe and across the US to be with us. On the day of the wedding Heidi did an incredible and efficient job running our early morning rehearsal which immediately put everyone participating in the ceremony at ease. She and her two assistants were then present at our venue throughout the day coordinating the vendors as they arrived, setting up decor, and bringing us our bouquets for photos. She even sent me a few photos of the cake and decor as sneak peeks as we were out and about all day with our wedding party. Once we arrived at the venue everything looked absolutely perfect and she even had water set up for the wedding party as we got ready to walk down the aisle (she also had water, snacks, pain killers and whatever else anyone needed!). During the evening wedding Heidi kept everything to schedule and moved the guests seamlessly throughout the venue from the ceremony to the cocktail hour to dinner to dancing. She worked closely with the photographer, caterer, and musicians to make sure everything went to plan. If anything went wrong during the day or evening we did not know about it! At the end of the wedding she and her two assistants packed up all our boxes of decor/cake/leftover alcohol and took it to our hotel so our family and friends were able to go back to their hotels or to the after party with no worries. In addition to the actual wedding day, Heidi was wonderful from day one. After we decided to work together we met with Heidi early in the summer and showed her around our venue. A couple of weeks before the wedding she also came to our final walkthrough with our caterer. We also had multiple check-in calls the week leading up to the wedding to go through final details. During the week before the wedding she was in touch with all of our vendors to introduce herself and to work out any details which took all vendor management out of our hands. In short, we had a very detailed schedule and notes of how we wanted our wedding to run and look and Heidi executed it with precision and even helped us think of details we might not have thought of ourselves. We had 60 guests and wanted a personal, professional, and elegant Chicago wedding. So many guests commented on how smoothly everything went during the day and how much they enjoyed the pace and look of the evening. We were a very happy bride and groom!

Allison totally came through on extremely short notice (about 2 weeks before my wedding!) and she did an amazing job. All her communication was prompt, professional, and very easy to talk to. I had some family drama however she took care of it all and everyone got on board. My venue was new to her so she came and met me before the rehearsal so I could walk her through and give her a rundown, which only put me more at ease. If you're like me and you base buying goods and services heavily on customer reviews but don't have time to read my full review just know you should hire Hayley NOW! Just do it! She was amazing from our very first call to the last second of our wedding night (which was a late night). We hired Hayley as our day of coordinator and I was very nervous at to hand everything over to another person and trust they would execute my vision but Hayley NAILED IT! On top of her lightning fast response time to any and all of my questions, she has such a great eye for style which, trust me you will want from someone who is setting up your decor and has to make on the spot decisions if things can't be set up exactly how you pictured them. There were things I forgot to tell her about the timeline and decor that she just did intuitively and I was beyond thrilled with the final product. Hayley will go above and beyond to make sure things go exactly how you want them. One of our desserts were my favorite frozen custards driven in from St. Louis to Chicago, once they arrived, we realized the black ice they were stored in wouldn't keep them frozen until the wedding the next day and there was no freezer at the venue. So Hayley worked her magic and ended up driving the custard all the way to her parent's home to deep freeze them, picked them up the next morning and drove them back to the venue! Everyone in my family and wedding party are still talking about how amazing she is and how well she executed the entire wedding - we were so grateful for her because I'm sure there were a million other problems she fixed but shielded me from on our big day. She even stayed late after everyone had gone on to the after party to take down my decor which included some hard to remove mirror decals. Book Hayley now before her calendar fills up - she is an absolute JOY to work with and definitely the person you want on your side for one of the most important days of your life!
