Pulling off a large, complex wedding or an elegant, small affair requires juggling myriad details, including the officiant, food, drink, wedding cake, entertainment, transportation, rehearsal dinner, photography, equipment rentals, venue reservations and more. A wedding event coordinator can help you keep track of these details, overseeing the planning process and managing everything on the day of your wedding. Each wedding coordinator (and wedding) is different, but in general you can expect an event coordinator to:

  • Help you devise a realistic wedding budget and hold your vendors to it.
  • Map out a master plan that includes all of the details including ceremony music, favors, the guest book and more.
  • Suggest ceremony and reception locations that fit your wedding size, budget and vision.   
  • Suggest florists, photographers, bands, caterers and other vendors that fit your budget.
  • Negotiate vendor contracts for the best deals.
  • Create a timeline for the day of the wedding that includes each vendor and member of your wedding party.
  • Mail invitations and track RSVPs.
  • Answer questions about wedding etiquette and current wedding trends.

How much do day-of wedding coordinators cost?

A day-of wedding coordinator makes sure that every detail of your wedding day goes off without a hitch, and deals quickly and quietly with any last-minute emergencies. For many brides, the day-of wedding coordinator is their best investment! The average national cost for a wedding coordinator is $800 to $1,000. Although full-service wedding coordinators often charge a percentage of the total wedding budget, most day-of coordinators charge a flat fee plus an additional hourly fee if the day runs long. For example, a 15-hour day-of coordination costs an average of $600, plus an additional $45 per hour if the coordinator works more than the planned 15 hours. Another option is to hire a coordinator to manage the last-minute details leading up to the event; for example, 25 hours of month-of coordination costs an average of $1,200. Several factors affect the cost of day-of coordination, including the region, the planner’s experience, and the specifics of the wedding. If the ceremony and reception are in two different locations, expect to pay more than if they’re in the same place. Also, extra details, such as managing food trucks or setting up snacks in addition to the meal, will increase the cost.

What should you ask a wedding coordinator?

When you hire a wedding coordinator, you want to make sure he or she gets you and can execute perfectly your vision of your dream wedding. To find the very best fit, it’s important to ask these five questions:

  • Are you available on my wedding date? If the coordinator isn’t available on your big day, there’s no reason to continue the interview — unless you’re willing to shift your date to accommodate their schedule.
  • What’s average cost of most of your weddings? If the coordinator’s usual wedding is outside your range, they might not be the right coordinator for you. Ask whether the coordinator requires a minimum wedding budget. In general, the wedding coordinator’s fee should be about 15 percent of your budget.
  • What is your speciality? Some coordinators specialize in day-of coordination, some create the overall vision, and others act as a producer. Make sure your wedding coordinator provides the type of services that will most help you create the event you have in mind, such as selecting vendors and handling their contracts, or managing the guest list and invitations.
  • What are your ideas for fulfilling our wedding vision? After you describe your dream wedding — rustic or sophisticated, traditional or funky — the wedding coordinator should be able to suggest appropriate venues, menus, decorations, etc..

Do you have a portfolio? Ask to see photos of their favorite weddings, especially if they’ve managed any that are similar to what you have in mind. This will help you see if you like their style and if their ideas seem fresh and creative.

Do I need a wedding day coordinator?

Even if you’ve handled every detail of planning your wedding, you might appreciate having a day-of wedding coordinator in your corner. Usually, the coordinator meets with you a few weeks before your wedding to put together a detailed timeline of everything that needs to happen on your wedding day. Then, on the big day, the coordinator makes sure everything goes according to plan — and handles any emergencies that pop up, such as party crashers, missing tuxedos, late vendors, disappearing bridal party members and more. Most wedding coordinators also handle:

  • Distributing the wedding day timeline to all of your vendors.
  • Coordinating all of your vendors, including the photographer, florist and baker.
  • Conducting the wedding rehearsal.
  • Helping the bride and her wedding party get dressed and take photos.   
  • Checking floor plans, lighting levels, cake placement, menus, favors and more.
  • Collecting the wedding gifts and keeping personal items safe and accounted for.

Even if you don’t think you need a wedding coordinator, check with your venue. Some require that couples hire a day-of wedding coordinator for the day of the event.

From the Bride: Our wedding was on July 7, 2018 in Oakland's Preservation Park. James and Khadija did a great job coordinating our wedding. They were hired to coordinate for the day of the wedding. My husband and I did the planning, gathering the vendors, and executing the contracts. We then handed them over to James to coordinate the logistics. James was very involved from the beginning. We had fun conference calls. It was very casual. The day of the wedding, it was a success with very minor issues. Limelight Productions did a great job executing the wedding. The ceremony was very fun, where I was able to pull of a surprise. The reception, at the same place, was hella fun. It was a great success. Tiffany is the most amazing wedding coordinator!! Tiffany was the day of coordinator for our wedding of about 150 guests on January 23. 2016. From our first meeting I loved her! I planned our wedding with the help of my mom and best friend but did not know how to organize the details and the importance of a timeline. Tiffany changed all of that and helped ensure that our wedding was streamlined so that it flowed and had order. Do yourself a favor on your big day and hire Kristine! Kristine was our day- of coordinator and helped us tremendously before, during, and after our wedding. She helped us make a schedule and kept us organized before the big day and offered to help us figure out any details that weren't coming together. Hiring Tiffany was a great idea, and well worth the cost. I was originally planning to do coordination myself, but about a month prior to the event it started to get too overwhelming. I wanted to be able to enjoy my wedding, not stress about who would do what on the day of the event. Tiffany signed on to connect with all the vendors, set up the tables and decor, and manage the schedule, among other important tasks. She was even able to bring an assistant at an affordable rate to ensure setup went smoothly (my venue didn't provide anything, all decor was DIY). Overall I am very happy with her work and would recommend her to anyone looking for a day of coordinator.

Tiffany was our day-of wedding coordinator for our wedding of 150 guests two weeks ago at Piedmont Community Hall. I need to extoll how wonderful Tiffany was to work with as my day-of coordinator. In reality, I think Tiffany completely altered by wedding experience in a dramatic way for the better. I was somewhat last minute about planning and brought Tiffany on-board just two months before my wedding date. She helped me process and think through many details that hadn't even occurred to me. Her professionalism, good reviews, and pricing led me to work with her and I am so, so glad I did. From there, I planned a little bit more, finalized vendors, etc. She took my plans and refined them. During our in-person meeting a few weeks before the wedding she narrowed in on every detail and helped me work through any gaps. The week before the wedding she began to communicate with all of my vendors and shared a detailed outline of the day with them. The day of the wedding, Tiffany truly shined. In many respects my wedding was difficult, maybe the kind that would have scared a coordinator. I was slightly unorganized and a little too chill. My family is definitely NOT chill and very opinionated. The wedding was sort of DIY (we did the decor ourselves, etc.). My mom purchased a ton of last minute items (some of them not necessary at all) and brought them to the venue and just gave them to Tiffany to figure out what to do with. Our caterers didn't speak much English and also decided to decorate a bit themselves (including throwing confetti and rose petals around - NOT good for clean-up). To top it all off, it was raining and we last minute switched out where the ceremony would be twice! All that is to say, there were a ton of moving pieces that Tiffany had to deal with and she handled everything WONDERFULLY. So wonderfully, in fact, that I was blissfully unaware of most details going on around me and was just focused on having fun. She was so hands on, so professional, so knowledgable about everything that she was simply critical to the event. I know she did a lot of extra work setting up and breaking down at the end of the evening and I am so grateful for all of her help. Thanks to Tiffany, when people ask me, "what went wrong during the wedding", I can honestly say "really nothing". She just handled everything so beautifully. If you are not sure if you want to get a day-of wedding coordinator, my advice is do it and hire Tiffany! You'll be in very capable hands.

She paid close attention to all of the details of our wedding and went ABOVE AND BEYOND to make sure everything was in place on the day of the event. She is very sweet, patient, professional, hard-working, and put us all at ease before and during our wedding. Anna Marie was my Wedding Coordinator for my September 2016 nuptials. I had spoken to her months prior and ended up hiring her kind of late in the wedding game, I am SO LUCKY she had my date available. Anna Marie was amazing! I needed staff and a bartender for my event and was sick of inquiring around, she was able to provide staff and they were WONDERFUL! She did a walk through at the venue with me a week prior to the event and put me right at ease, she even met me late the night before my wedding for wedding item drop off so I had more time to get some items together. The weeks prior to my wedding she was wonderful receiving info and asking questions making sure she has everything. The day of my wedding was more than I could ever ask for. Anna Marie is a perfectionist, she has an amazing attention to detail and I did not have to worry about ONE thing. The staff she had setting up with her (that I did hire though her) were JUST as sweet / warm / professional / and hard working. They would ask me a few questions to ensure that I was ok with some last min changes but after seeing them work I seriously trusted them to make the best decisions and they DID 100%! My guests were taken care of, my wedding decorations were amazing and exactly how I wanted them. Everything she touched went off without a hitch. I cannot say enough good things about Anna Marie. I would not hesitate to recommend her to friends or to use her again for events. Every person at my wedding thanked me for having such a professional taking care of everything, they said that Anna Marie was a delight and she truly is.
