How much do day-of wedding coordinators cost?

A day-of wedding coordinator makes sure that every detail of your wedding day goes off without a hitch, and deals quickly and quietly with any last-minute emergencies. For many brides, the day-of wedding coordinator is their best investment! The average national cost for a wedding coordinator is $800 to $1,000. Although full-service wedding coordinators often charge a percentage of the total wedding budget, most day-of coordinators charge a flat fee plus an additional hourly fee if the day runs long. For example, a 15-hour day-of coordination costs an average of $600, plus an additional $45 per hour if the coordinator works more than the planned 15 hours. Another option is to hire a coordinator to manage the last-minute details leading up to the event; for example, 25 hours of month-of coordination costs an average of $1,200. Several factors affect the cost of day-of coordination, including the region, the planner’s experience, and the specifics of the wedding. If the ceremony and reception are in two different locations, expect to pay more than if they’re in the same place. Also, extra details, such as managing food trucks or setting up snacks in addition to the meal, will increase the cost.

What should you ask a wedding coordinator?

When you hire a wedding coordinator, you want to make sure he or she gets you and can execute perfectly your vision of your dream wedding. To find the very best fit, it’s important to ask these five questions:

  • Are you available on my wedding date? If the coordinator isn’t available on your big day, there’s no reason to continue the interview — unless you’re willing to shift your date to accommodate their schedule.
  • What’s average cost of most of your weddings? If the coordinator’s usual wedding is outside your range, they might not be the right coordinator for you. Ask whether the coordinator requires a minimum wedding budget. In general, the wedding coordinator’s fee should be about 15 percent of your budget.
  • What is your speciality? Some coordinators specialize in day-of coordination, some create the overall vision, and others act as a producer. Make sure your wedding coordinator provides the type of services that will most help you create the event you have in mind, such as selecting vendors and handling their contracts, or managing the guest list and invitations.
  • What are your ideas for fulfilling our wedding vision? After you describe your dream wedding — rustic or sophisticated, traditional or funky — the wedding coordinator should be able to suggest appropriate venues, menus, decorations, etc..

Do you have a portfolio? Ask to see photos of their favorite weddings, especially if they’ve managed any that are similar to what you have in mind. This will help you see if you like their style and if their ideas seem fresh and creative.

Do I need a wedding day coordinator?

Even if you’ve handled every detail of planning your wedding, you might appreciate having a day-of wedding coordinator in your corner. Usually, the coordinator meets with you a few weeks before your wedding to put together a detailed timeline of everything that needs to happen on your wedding day. Then, on the big day, the coordinator makes sure everything goes according to plan — and handles any emergencies that pop up, such as party crashers, missing tuxedos, late vendors, disappearing bridal party members and more. Most wedding coordinators also handle:

  • Distributing the wedding day timeline to all of your vendors.
  • Coordinating all of your vendors, including the photographer, florist and baker.
  • Conducting the wedding rehearsal.

Tiffany is exactly the type of person you would want as your wedding coordinator - she's responsible, fast-thinking, experienced, and extremely hard working - and she handles everything extremely gracefully. I couldn't tell, but I'm sure our wedding was a little stressful. We had a lot of DIY decorations, a completely hands-off venue, nervous mothers that asked a lot of questions, and a lot of things that came together at the last minute. Tiffany (calmly) handled everything - and I'm not even sure how she did it - she is a wedding superhero. Before the wedding, we met with Tiffany at the venue, and she was extremely helpful in filling in the gaps of anything we missed and pointing out any issues in logistics. She then coordinated with all of our vendors the week before wedding and sent them a detailed timeline that she created. This allowed me to focus on other more memorable things - like hanging out with friends and family - in the days leading up to our wedding. On the wedding day, Tiffany was extremely helpful in setting up the reception venue and took over needing little guidance from me. As an architect, this part of the day was hard to give up because I am extremely detail-orientated regarding aesthetics - however, when I walked in the room before the reception started I was so happy how everything looked - she did a fantastic job putting everything together! It's hard to say exactly, but I feel that one of the most vital roles Tiffany played was coordinating the ceremony. It was our officiant's first time officiating a wedding and we didn't coordinate much with our ceremony musicians. Tiffany coordinated everything perfectly between the musicians, photographer, and our officiant; it went off like we actually knew what we were doing! (Well we did, thanks to Tiffany!) Tiffany went above and beyond - a day or two before the wedding someone warned us that our outdoor ceremony venue was a little muddy. I started to get nervous about my dress dragging in the mud. I asked my fiance to get in touch with Tiffany and when I checked back in with him about it less than 2 hours later he told me that Tiffany had already picked up an aisle runner and would be bringing it to the wedding. Wow! Total peace of mind. I decided to hire a day-of coordinator because everyone told me I should. I was hesitant, because we had an extremely tight budget. However, after my first conversation with Tiffany, I quickly realized that she was not just going to make sure our wedding went exactly how we had planned, but hiring Tiffany was investment in the type of memories we would have of our wedding day. Tiffany was our day-of coordinator for our wedding at the Outdoor Art Club in Mill Valley. Simply put, she was AMAZING! Very thorough, organized, and responsive. A few weeks before the wedding, when I was inundated with emails and multiple timelines, she stepped in and created the greatest spreadsheet of all time. She made this crazed bride-to-be a little less frantic, to say the least! Not only that, but I heard from many of our vendors that she was great to work with and so on top of things. Tiffany was absolutely amazing. She came in at the last minute when my other wedding day of coordinator fell through 3 weeks before my wedding and executed perfectly. When I connected with Tiffany the wedding was nearly completely planned but I just needed someone to take over to confirm times/deliveries with vendors and execute the plan. Tiffany confidently took over and got to work almost immediately. She and her assistant did an amazing job of ensuring that I had to think very little about the mechanics of my wedding on the day itself -- that is, running a dinner/dance party for 120 people. Shobha did a great job being the day-of wedding coordinator at our wedding. She helped all the vendors load in while we were off getting married, helped finalize the setting up of the event space, made sure the hired staff knew what they needed to do and answered all their questions throughout the event so no one ever had to come up to myself or my partner which meant we were able to relax and enjoy ourselves the whole night. She truly did a great job of keeping the show running without a hitch and I cannot recommend her enough!

We hired Tiffany just three weeks before our micro-wedding to help plan & coordinate our ceremony. Before hiring Tiffany we had booked all of our vendors and had a rough sense of what our ceremony would entail, but needed an expert to review our run-of-show, see if there were any logistics we had missed, and generally needed help tying all the vendors together - and TW delivered. Her pre-wedding consultation helped solidify our vision, and we're so grateful for her guidance and general advice leading up to the big day. With the help of a few friends/guests, Tiffany also helped us set up and break down the wedding venue as well. We cannot be more happy with how smoothly the ceremony went! Tiffany was very professional from start to finish (I mean, event management is also her day job!). Her pricing is fair, and you can't put a price on peace of mind. My wife and I got married in August at Stern Grove. As a tip- they know how to work the grounds in this "not your average" venue. If you're getting married or having an event at Stern Grove, don't hesitate to choose them!!! A must! From the start, Anna Marie was so calming and knew her stuff! We had a conversation with her to share who we were and she helped us understand the quirks of our venue. There were some changes in choosing our DJ because of her awesome insight. Anna Marie then assigned Rebecca and Sophie to us-two of the nicest people you'll meet. Rebecca took the lead at our event. Anna Marie couldn't be there for the event, however, she showed up while I was getting my hair done on the day of our wedding! Just to see how we were doing! I mean- talk about caring how her brides feel and ensuring they are ok! We only hired AR Weddings N Events for our day of coordinators. My experience will probably be different than others. I actually had to reach out to them to figure out what they needed from me to make the event happen for the day of. I hadn't been given instructions yet, so I was a bit nervous. However, when we chatted with Rebecca she explained to me in detail over the phone what was needed and checked in on us to see how we were doing. Very calming (nice feeling). With that info, I then made a very detailed list and packed all wedding items (DIY stuff) in boxes with labels (i.e. Sign in table, sweetheart table). All decorations/items were placed out for us and we didn't even have to lift a finger. Every item, except one, came back to us at the end of the event (no big deal and probably our fault anyway). AR Weddings N Events were awesome! Super nice! Also, I had some loud and "happy" family members at the end of the night and they were so patient. We felt so comfortable around them. This is what you need as a bride! One of my friends still talks about them (with high remarks) and she will be suggesting them to another friend for their wedding. Hiring Tiffany ended up costing me thousands of dollars. She made two very big mistakes that is very hard for me to overlook despite the work that she did for my wedding. We had a typical Asian wedding where all of our guests provide money or cash in lieu of gifts. We had placed the envelopes in a box and at the end of the evening, she ended up giving that box to probably the most drunk and distracted person there, the groom. Mind you, she had a full list of contacts that she could have easily reached out to. In the whirlwind of distractions (we had about 280 guests), my husband, the groom, left the bag unattended. Tiffany found the bag by itself at 1:30am and knowing full well the contents of the bag, decided to place it against the wall and hide it with a chair. This is by far the most irresponsible thing any coordinator or professional could ever do. Our venue was at a hotel so she could have easily dropped the bag at the front desk or better yet, give us a ring! Needless to say, we spent the next three days after our wedding having to do some dumpster diving to make sure no one threw the box away, filing police reports, viewing security footage at the hotel with their security, and having to call our guests and friends and embarrassingly asking them to cancel their checks. All this time, Tiffany is nowhere to be found except for a few texts. If I could do it all over again, I would never hire Tiffany. The amount of worry and stress is not worth it! Invest your money elsewhere so you can really have a worry-free wedding!
